Q

How do you add a dorm onto someone’s account? What would the circumstances be and what do you need in order to do it? What would you do after you added it on?

A

At the top left, hover over the blue folder. Click on “People Search” and click on it. Another screen will pop up. Over to the right side, scroll down. You can search by name or ID#. This will pop the student up or give you a list to choose from. Halfway down, choose “Access Levels” Scroll down to the 2nd set of boxes. In the box on the left, type in the 3 digit code for the building you want. Scroll down. Most of the time you will choose “GEI_RESIDENT_EXTENDED_STAY”. Unless you are given a specific date to end it on, pick about 5-6 days out as the ending date. In order to add a dorm, you need permission from someone in housing or from an actual hall director if it is on the weekend or after hours. After doing this you need to send an email to Housing, Dispatch, & Taylor letting them know so they can get the permanent code on the students account by the end of that time.

Q

When you add a plan and put a date for it to end, and they are only to be in there until Monday the 6th, what date should you put it through?

A

The plan will shut off at midnight on the date you put. In other words, if they are leaving Monday, the 6th at 10 am, you need to set the date through the 7th. Then it will work until midnight Monday night.

Q

How do you override an academic building door on S2 to lock/unlock early? What do you need to do before and after locking/unlocking a door?

A

Hover over the blue folder. Click on “Portal Status”. Just under the blue folder, type in the 3 digit building code in “Filter”. This will pull up doors for those buildings only. Find the correct door. Under “Action” hover over the picture of the lock. If it is locked, it will say “Unlock Portal”. If it is unlocked, it will say “Lock Portal”. Click on it and it will do whatever it says. You need to get permission from the command officer to unlock a door. Everything needs to be recorded in CAD.

A

You need to click on the green checkmark and enter a comment in the box that pops up. “Dispatching Officer” is fine if that is what you are doing.

Q

What do you need to do if you no longer need the trace?

A

You need to go back in and click the box that says “Trace this person” so the checkmark is gone.

No. Each alarm has a set of actions associated with it. If there is a green check mark or a red “X” in the box, you have to click on them to acknowledge them. If another box pops up, follow the instructions.
