When someone turns in a permanent key, what needs to be done on the card? Where do the card and key go?

A

The Date Returned & Received By boxes need to be filled in (date returned & the initials of who checked in the keys). After this is done, the card goes in the little white basket on top of Jill’s desk ( it’s next to the VAN LOGS/LKCC/TESTS basket). The key goes in a small envelope (mark the key # on it) & it gets filed away in the key file cabinet by Jill’s printer.

What steps would you take if a student says they turned in a permanent key, but it is still on their card?

A

Check BU Workcontrol Database, under Key Log Search. You can also check the key file cabinet to see if the key is in there.

Where are all active custodial cards kept?

A

In the 2nd drawer of the open key cards cabinet, there’s a little box labeled “Custodial Key Cards”.

Who can request a permanent key for someone (not a dorm key)? Where can you find a list of those people?

A

Department supervisors. You can find a list of these people in the flip chart - orange tab under “Key Access Referral/Key Permission”.

How would someone request a permanent key for someone (not a dorm key)?

A

They need to email ‘keyandcardaccess@fsmail.bradley.edu’ with the name of the person needing the key and exactly what they need to get into.

If someone reports a lost key (not a dorm key), what is the procedure for reporting it lost and for getting a new key?

A

They should call Work Control and let Jayne know. She will determine if a core change needs to be done and instruct the person that they need to pay the fee for a lost key and request a work order for a new key be cut in School Dude. Once they have paid for the lost key, they will bring the receipt to MAC where they can exchange it for the new key.

What needs to be done if someone has their key/keys (not a dorm key) stolen?

A

They need to call Jayne in Work Control. She will determine exactly what needs to be done, whether it be to contact Bradley Police to report a stolen key &/or a LKCC needs to be done. She will then request a work order for a new key to be cut in School Dude.

What if someone breaks or bends their building or office key? What information would you need? What do they need to return in exchange? If not?

A

If someone breaks or bends a key (not a dorm key), they need to call Work Control with the key’s numbers for confirmation. A work order will then be put into School Dude to cut a new key. They need to turn in the broken key parts or bent key at Work Control in exchange for the new key or a core change will be done and they will be charged for it.

What if someone breaks or bends their dorm key? What information would you need? What do they need to return in exchange? If not?

A

RA should give us a call: we’ll put in a work order to the locksmith in School Dude to cut a new key. The student will still need to turn in their old key when they come to pick up their new key. If they don’t turn in their old key then we’ll have to do an LKCC and they will be charged for it.
