How do you determine whose name goes in the “Employee” box?

A

The person who called it into you or requested something to be done. Example: If an RA calls to report a cleanup, you will use their name in “Employee”. If you are checking a custodian in for OT, you will use their name. If you are calling KONE for OT to service an elevator after an OE said we need them and you have permission from the DS, use the OE’s name. If you just want to note something to pass along, you can use your name.

(BU Workorder Database - Notes) How do you print from this log?

A

In the top area (labeled Search), you can put in the date, employee’s name, or both at the same time. On the bottom make sure that’s the note you want to print then click “Print Current”.

When a custodian calls in, what number do you transfer them to?

A

3211, where they will leave a message.

Where does the call-in sheet go?

A

If it’s 3rd shift, the call-in sheet goes on the counter. We don’t print for 1st or 2nd shifts.

Who else needs to be notified and how?

A

We send an email to Tracy stating who’s not coming in, whether vacation or personal, & shift that person works.

What needs to be done if a custodian calls and says they are leaving early?

A

Transfer them to 3211, go into “Notes” and click on “Custodial” and fill in the name and what is going on. Include the time they are leaving and what they are using. Send Tracy an email with the same information.

What do you do when 26 calls in 10-7 and 10-8 at SOC?

A

Click on notes; on the bottom, after “Record”, click on the arrow & yellow box to the right (says “new (blank) record” when hovering over it); add the building (SOC) & the OE at the time; in the description put 10-7. When the OE finished at SOC, make another note, but this time in the description put 10-8.

What needs to be done if custodial is needed during 2nd or 3rd shifts?

A

“Notes” needs to be used to put the situation. “Custodial” needs to be clicked on. It needs to state who was contacted and that they are going to take care of it. Also, go into the work order and under “Action Taken” put who you sent to clean it up.

A

Kone calls for service. Call outs for work control. Anything you feel needs to be noted - there is no right or wrong.

What happens to all of the information at the end of the day with the information that was clicked “Custodial” or “DS”?

A

It’s compiled into a daily report that gets printed out and distributed to all DS & Custodial.
