583 Staff Inspections Flashcards
Staff Inspections can be requested or initiated by the Sheriff, a member of his staff, and as required by accrediting standards. These inspections will focus on the overall operation and processes of the division, section, or unit being inspected. All staff inspections shall be conducted by staff inspectors designated by the Staff Inspections Unit under the guidance of the Supervisor of Staff Inspections Unit, who is designated by the Senior Audit & Compliance Executive. Each component of JSO will be inspected at least once ……………; however, a component may be inspected without prior notification.

Line inspections are concerned with personnel, equipment, vehicles, facilities, and operations within a given organizational component. However, should questions arise concerning the line inspection, the Staff Inspections Unit may be consulted for assistance.

Spot inspections
The Supervisor of Staff Inspections Unit will ensure that a staff inspection of each component of JSO shall be conducted, at least once ………………

………, ……..or …………………. may request the Staff Inspections Unit to conduct a staff inspection of any operational process utilized by any unit or section under their commands. With the exception of inspections initiated by the Sheriff or Undersheriff, all requests for staff inspections shall be submitted in writing to the Senior Audit & Compliance Executive for approval and assignment.
The Sheriff, Undersheriff, or appointed Sheriff’s staff members
Upon the conclusion of any staff inspection, the commanding officer of the inspected unit/component shall:
a. Review the report;
b. Check for discrepancies;
c. Respond to the findings within ……………………… after receipt with a detailed plan for addressing the findings contained in the inspection report;
The response will be reviewed by the director of the inspected unit/component through their chain of command. The response will then be submitted to the Staff Inspections Unit, and attached to the inspection report as an appendix. The final inspection report will be maintained by the Staff Inspections Unit.

…………………….. of receipt of the inspection report, provide proof of all completed items in response to the inspection findings, or opportunities for improvement, and note any uncompleted responses to findings by sending an e-mail detailing this information to the Staff Inspections Unit. Upon receipt of this, the Supervisor of Staff Inspections Unit must forward a Report of Non-Compliance, noting any uncompleted items and described plan for completion included, to the Undersheriff and the unit’s director within ……….. of receipt of the aforementioned email. Non-compliant findings will not include events or circumstances, to include financial restrictions or limitations, which are out of the immediate control of the division, section, or unit.

The Staff Inspections Unit will maintain a file of all completed inspections. This file will include all original reports, documentation, and required responses. Files will be maintained for a ………………. Prior to being destroyed, files will be reviewed by the Supervisor of Staff Inspections Unit to ensure the destruction of the files is in accordance with Florida State Statute (F.S.S.). [

An electronic copy of the appropriate form will be maintained by the employee’s immediate supervisor on the respective unit drive and/or personal drive provided by JSO. Upon an employee’s transfer to another unit, the supervisor shall ensure that the electronic file is sent via intradepartmental email to the newly assigned supervisor. Current supervisors shall maintain the electronic copy of each form for a period of ………..after the date of the last entry onto the form.

While line inspections must be completed on a quarterly basis, additional line inspections may be conducted at the request of ……………., ………., or………….
