Lesson 61. Progress practice 2 – Delegation Flashcards
What happens in the Plan step of the process?
Understand the situation, define objectives, and plan how to respond.
This step sets the foundation for the project by establishing clear goals and strategies.
What happens in the Do step of the process?
Perform specific steps (try something).
This involves executing the planned actions to achieve the defined objectives.
What happens in the Check step of the process?
Validate results compared to objectives. Identify further actions.
This step assesses whether the outcomes align with the initial goals.
What happens in the Act step of the process?
Apply these other actions to get continual improvement. Do Again.
This involves making adjustments based on the evaluation in the Check step.
What are some tips for good progress management?
Define management levels and tolerances, review and report on progress and lessons, forecast remaining work and escalate when needed.
These practices help ensure that projects stay on track and within defined limits.
Which layers can set tolerances for the level below?
Business layer, directing layer (project board), and managing layer (project manager).
Each layer has a role in establishing guidelines that govern project execution.
What would happen if a project did not use tolerances?
Every issue would be escalated to the above level until it gets to the business level, leading to the business level running the project.
Tolerances enable the layers below to make decisions up to a certain point.
Tolerances allow for decision-making at lower levels without constant escalation.
What does the business layer mean from a tolerance point of view?
- The business layer above the project sets the overall tolerance for the project. The levels below will then work within these tolerances.
This layer defines the limits within which the project operates.
What does the project board do from a tolerance point of view?
- The project board has overall control at a project level. The project board will allocate tolerances for each stage to the project manager, regularly review progress, and decide whether to continue or stop the project. They will escalate to the business layer if tolerances are exceeded.
They also escalate to the business layer if tolerances are exceeded.
What does the project manager do from a tolerance point of view?
- The project manager controls a stage within the tolerance limits. They will escalate to the project board if they exceed tolerances. They will use the exception report to escalate.
They use the exception report to communicate issues.
What do the team managers do from a tolerance point of view?
- Team managers have control over a work package. They work with tolerances set by the project manager, and they never create exception reports. If they forecast to go out of tolerance, they raise an issue with the project manager.
They do not create exception reports.
What is the name of the report the project manager uses to report to the project board?
Highlight report.
This report provides a summary of project status and any issues.
What is the name of the report the team manager uses to report to the project manager?
Checkpoint.
This report offers regular updates on the work package progress.
What happens in each of these steps of PDCA?
- Plan: Understand the situation, define objectives, and plan how to respond.
o Do: Perform specific steps (try something).
o Check: Validate results compared to objectives. Identify further actions.
o Act: Apply these other actions to get continual improvement. Do Again.
