Risk Management: Meeting safety & security
Risk Management
Process designed to safeguard the various elements of a meeting by minimizing the amount or severity of harmful events that may occur
Due Diligence
The meeting professional must do what a reasonable, prudent colleague would do in the same circumstances.
Negligent
The meeting professional does not meet a reasonable expectation or does something that should not be done, then that person, as well as the sponsoring organization, may be found liable for injury or damage caused by said negligence

Accepting Risk
Worth accepting risk because they are so unlikely to happen that planning for them is not an efficient use of time (low probability of occurring) or because even if they do happen they are unlikely to result in much harm (low impact)
Transferring Risk
Prudent to transfer these risks to others who are more qualified or positioned to absorb them. The most common ways are purchasing insurance policies and negotiating contracts
General Liability Insurance
Protects the insured in case of injury on the property or at the meeting and damage to the property.
Unavoidable Risks
Natural disaster
Citywide power outage
Some fires
Disgruntled worker with a weapon
Avoidable Risks
Serving undercooked meat
Allowing unsafe exhibit decor
Failing to provide security measures for heavy equipment
Risk Assessment
Identification of possible risks, which can be difficult when working at an unfamiliar destination or venue
Contracted Security Professionals
These professionals are hired from a security firm for a specific meeting or event.
Peer Security
A blend of security personnel that are approximately the same age and appearance of the attendees is often the first line type of security
Personal Security
These individuals are often tasked with protecting one or more people who are at high risk (celebrities, president, prime minister, etc.)
Proprietary Security
Types of security in the meetings industry that work in hotel or convention center are considered proprietary security. Proprietary to the facility or independent contractors.
