Site Management
Site Management
Refers to all of the details the event manager must supervise at the venue, area, location, property or specific facility to be used for an event.
Site Selection
Encompasses designing the event’s layout, managing the event onsite and managing event communication.
Destination Marketing Organization (aka Convention & Visitors Bureau or Tourism office)
A resource for suppliers in and around a specific destination. Typically supported by government funding, membership dues, and/or hotel occupancy taxes
Destination Management Companies
Posses extensive local knowledge, expertise and resources specializing in the design and implementation of events, activities, tours, transportation and program logistics and can assist in selecting sites at a destination
Convention Center
Venue built to host trade shows, conventions and other large functions. Combines exhibition space with a substantial number of smaller event spaces.
Conference Centers
Provide a dedicated environment for events and may be certified by the International Association of Conference Centers. Some offer a complete meeting package to keep within a set budget
Hotels
May have a large amount of meeting space but usually less than convention centers. Attractive venues if you are able to fit all of the attendees in hotel rooms and meeting space
Resorts
If your meeting attendees expect resort amenities when they attend a meeting you may need to host your event at a resort.
Cruise Ships
Can be chartered solely for your group or you may use a portion of the cruise ship.
College/University campues
Most often used during summer and student breaks. However, many campuses have conference centers that are available year-round.
Non-traditional Venue
Historical facility, palaces, castles, restaurants, museums, outdoor areas, & arenas.
Reasonable Accommodation
Necessary and appropriate modification and adjustments that do not impose a disproportionate or undue burden where needed in a particular case to ensure persons with disabilities the enjoyment or exercise on an equal basis with others of all human rights and fundamental freedoms.
Universal Design
The design of products, environments, programs and services to be usable by all people, to the greatest extent possible without the need for adaptation or specialized design. Shall not exclude assistive devices for particular groups or persons with disabilities.
Floor Plans
Provide sizes of rooms, locations of partitions, and other structural elements as well as locations where temporary structures can be added if needed.
Site Plan
A document detailing meeting room assignments and the placement of permanent and temp structures within your venue. Its main purpose is to show a visual and written representation of your onsite conference layout and actual venue space.
