Stakeholder Management
Stakeholder
A person/people who can have an impact on the success of the event or who can be affected by the event. They are actively involved in the project or whose interests may be positively or negatively affected by the performance or completion of the project. They can be internal or external to the event host organization.
Stakeholder Approach
The event manager will take into account their responsibilities to others and adopt a consultative demeanor, including stakeholders in the event’s decision-making process.
Internal Stakeholder
The owner of the project and the owner of the budget
External Stakeholder
Include attendees, sponsors, and the community where the event is taking place
Event Owner
The person who has requested the event and is responsible for defining its overall objectives and measurable outcomes
Budget Owner
A key stakeholder and in some cases may be the same person as the event owner. This person has the overall responsibility for the income and expenditures related to the event.
Event Attendees/Participants
Main group of external stakeholders. The people whose participation is required to achieve the designated event objectives.
Finance Stakeholders
Engaged early in the event planning process to agree on the measures required, including the data to be collected, processes to be used and the systems available for use.
Procurement Stakeholders
Responsible for sourcing, contracting, and paying for goods and services. Key role in auditing to ensure appropriate use of an organizations funds.
Technological Stakeholder
Key stakeholder if specialized meeting AV needs to be incorporated into an event. Ensure tech decisions are compatible with organizational policies and existing systems.
Legal & Risk Management Stakeholder
Should be engaged prior to contracting or creating a contract addendum so that the legal and financial risks to the organization can be minimized.
Stakeholder Profile
Stakeholder Details: Name, Job title, Role in the organization
Connection: Why this event is important to the stakeholder
Key Values: What elements the stakeholder considers important.
Sphere of Influence: Which relevant individuals/groups the stakeholder can potentially influence
Preferred communication channels
Information required: format and frequency
Objectives for the event
Measure of success based on previously defined KPIs
