Onsite Management
Event Specification Guide A.K.A. Staging Guide
The preferred term for a comprehensive document that outlines the complete requirements and instructions for an event. This document is typically authored by the event planner and is shared with all appropriate vendors. The purpose of the ESG is to provide the meeting professional with one comprehensive document containing the required information for the venue and other vendors.
Pre-departure Meeting
To review key information about the meeting facilities, program, and logistics. The goal is to orient the team to all aspects of the meeting and provide clear expectations of each team member’s responsibilities.
Pre-Convention Meeting
An essential meeting between the meeting professional and onsite meeting staff with the facility’s key decision makers and outside contractors. It should be scheduled no later than 24 hours prior to the first meeting function.
Daily On-site Meetings
Important to maintain clear, frequent communication with the meeting team and suppliers.
Post-Convention Meeting
Provides the opportunity for the organization to receive candid feedback on the logistics planning and onsite management of the meeting and to openly thank the supporting team.
Identification Signage
Include the name of the event and the location of places (i.e. pressroom, general session, exhibit hall)
Informational Signage
Provide background data and/or instructions for the attendee. A sign displaying exhibit hall hours is informational as are signs with instructions denoting the session may be recorded.
Directional Signage
Assists attendees in moving safely and efficiently throughout a venue as they attend general sessions, breakout sessions, meal functions, etc.
