Step 1: Greeting
A
- Set the ground rules for the discussion.
- Turn off cell phones.
- Place company out of service (if applicable).
- I will be taking notes

Step 2: Explain Reason for meeting
A
- This may be an investigation
- This may require association representation

Step 3: Employee explanation
A
- Ask open ended questions
- Example: “Please explain_________.” or “What happened next?”

Step 4: Supervisor review of explanation
A
- Repeat employee’s explanation to make sure you have the accurate details
- Be receptive to corrections.
- Example: “So what you have told me is__________.” or “I want to be clear, as I understand_____________.”

Step 5: Violation
A
- Policy
- Procedure
- Mission Statement
- Departmental Values
- Standard operating procedures of guidelines.
- You must be able to tie it to one of these

Step 6: Plan of action
A
- State the consequences: “These actions are going to result in a ___________.”
- Corrective counseling
- Oral reprimand
- Written reprimand- formal discipline
- Additional training
- Station drill
- Loss of privileges
- No action warranted

Step 7: Review plan of action
A
- What transpired during the meeting
- What, if any discipline will be imposed
- What will happen if future infractions occur

Step 8: positive close
A
- This should encourage the employee Example:
- “I want you to know you are a valued employee. I am confident that you are going to get through this and I am committed to helping you do just that.
- The employee may not agree with the discipline, however, they must understand that the behavior will not be tolerated.
