Stakeholders Flashcards
What are two techniques for identifying stakeholders?
- brainstorming with team members
- interviewing stakeholders (if group is too large, then questionnaires/surveys are used)
Once we identify the stakeholders, make a DOCUMENT to keep track of them. What is this called?
Stakeholder Register
What does a Stakeholder Analysis tell us?
how much can these stakeholders influence the project
Which direction of influence is each of the following?
(upward, downward, outward, sideward)
1) Parent organization — senior management (business, financial interests)
2) Friendly or competitive for resources — project manager’s peers, other organizational
departments
3) Have a “stake” in the project — client, end-user, external
4) In the project hierarchy - team or specialists
1: upward
2: sideward
3: outward
4: downward
As a project manager, you need to prioritize stakeholders based on their power, legitimacy, and urgency to ensure effective stakeholder engagement. Which model should you use to categorize and manage stakeholders according to these attributes?
A. Power/Interest Grid
B. Stakeholder Engagement Matrix
C. Salience Model
D. RACI Matrix
C. Salience Model
Legitimacy, Urgency, Power
Salience Model: The Salience Model is used to categorize stakeholders based on three key attributes: power (the ability to influence the project), legitimacy (the stakeholder’s involvement in the project’s decisions), and urgency (the need for immediate attention). This model helps the project manager prioritize stakeholder engagement efforts by identifying which stakeholders are most important at any given time.
Define Information Radiator and give an example.
tangible thing that radiates information;
a monitor in your team’s room where they work which displays the dashboard
What is the difference btw push vs pull in an Information Radiator?
- Push is when you share information by hand delivering a report, or walk up to someone to tell them something. Sending email is a push.
- Pull is when you post the information online somewhere and ppl get it themselves.
You have a team dispersed in 4 different countries, etc. How do you communicate and hold mtgs as a best practice?
A time is needed when all can meet, a SharePoint we can all access, and a communication we can all participate in.
As a project manager, you notice that communication issues are arising within your team. You observe that team members’ current emotional states and inherent biases are affecting how they send and decode messages. Which of the following factors should you consider when addressing these communication challenges?
A. Culture, generational differences, professional discipline, and gender
B. Team members’ technical skills and knowledge base
C. The project timeline and budget constraints
D. The availability of communication tools and technology
A. Culture, generational differences, professional discipline, and gender
nfluence of Emotional State and Biases: Communication is deeply influenced by various factors such as culture, generational differences, professional discipline, and gender.
On the Communication Model, what is a channel?
a way to transmit your message. For example, literally the server if you’re sending an email.
On the Communication Model, what is noise?
noise is how the Medium (or a tool) sends your message
On the Communication Model, what is a Medium?
what we use to send the message; phone/computer;
tool which helps us send our messages
What is the formula for calculating the number of communication channels you’ll be managing?
N*(N-1)/2
^N = the number of ppl involved
(See exam formula prep page)
As a project manager, you need to assess and manage the current and desired levels of stakeholder engagement throughout the project lifecycle. Which tool would you use to compare the current level of stakeholder engagement with the desired level and to plan actions to close any gaps?
A. Power/Interest Grid
B. Stakeholder Register
C. Stakeholder Engagement Assessment Matrix (SEAM)
D. Communications Management Plan
C. Stakeholder Engagement Assessment Matrix (SEAM)
stakeholder engagement assessment matrix (See exam charts prep page)
Stakeholder Engagement Assessment Matrix (SEAM): SEAM is a tool that helps project managers compare the current engagement levels of stakeholders with the desired levels. The matrix is used to assess how engaged stakeholders currently are (e.g., unaware, resistant, neutral, supportive, leading) and identify actions to align their engagement with what is needed for project success.
You are managing a project with 10 team members, and you anticipate adding 5 more team members next month. How many communication channels will you need to manage after the new team members are added?
A. 45
B. 66
C. 105
D. 120
D. 120
Formula: The formula to calculate the number of communication channels is
𝑛(𝑛−1)/2, where 𝑛 is the number of team members.
Answer includes adding you!
16(16-1)/2 = 120
