willow provider record

A

SER record

a User (EMP) record and its linked template determines what a user sees and can do in Hyperspace, but if the user is a clinician who documents in patient charts or enters orders, they also need a Provider (SER) record

Q

in basket classification

A

In Basket classifications determine which In Basket messages a user receives and can respond to
–> they are similar to distribution groups in an email system

you’ll have different In Basket classifications for pharmacists, technicians, and members of the project team

for the pharmacists and technicians, you’ll create different classifications for each hospital (at least)
–> you generally don’t want the techs in Hospital A working with MAR messages from nurses in Hospital B
–> in general, pharmacists should also be able to see messages that have been sent to technicians

note that you have to assign all In Basket classifications in the individual User (EMP) record
–> you can’t assign some (like “Rx All Pharmacist”) in the template and others in the User (EMP); they must all come from one place or another

Q

data courier

A

Data Courier automates the process of migrating build data, making it safer and easier to manage

Data Courier uses Community IDs (CID) to identify records, instead of the local .1 (the ID in Chronicles); this prevents issues when the .1 doesn’t match across environments

the CID is unique and shared across all environments that use Data Courier

Data Courier also uses CIDs to ensure referential integrity—migrated records will remain networked to the correct records even if those records have different local IDs in different environments

Data Courier only works with master files that have Data Courier enabled and is designed to transmit static data, not dynamic data

16
Q

how to attach an EMP record to a user template

A

you MUST save work after applying the template

once the template is applied, settings controlled by the template are disabled (grayed out) in the user (EMP) record and the value from the template is displayed

17
Q

how to add a default log in department to an EMP record

A

from the User Security activity in Classic, expand the Hyperspace/Shared form

then click Login Settings form

enter the Default Login Department

18
Q

how to add in basket class

A

note that you have to assign all In Basket classifications in the individual User (EMP) record
–> you can’t assign some (like “Rx All Pharmacist”) in the template and others in the User (EMP); they must all come from one place or another

if no classification is assigned, NO MEDICATIONS WILL BE SEEN

19
Q

how to add in basket classifications to an EMP record

A
20
Q

how to create and configure a SER record for a pharmacist

A

SER record = provider record

unlike User (EMP) records, Provider (SER) records are created in Text

to create a new provider, go to Text&raquo_space; Clinical Administration&raquo_space; Users, Providers&raquo_space; Providers (SER)

  • navigate to the Provider prompt and enter “*” ﴾an asterisk﴿ –> this prompts the system to create a new record
  • press Enter at the ID prompt (allowing the system to assign an ID)
  • at the STAFF/RESOURCE NAME prompt, enter the name of your pharmacist in the format: Lastname, Firstname.
  • press Enter until you are on the first screen of the record, Provider Information
  • enter an appropriate value in the Provider Type field, such as “Pharmacist” or “Pharmacy Student”
–> when you write a note, the Author Type is
    determined by this field
  • enter Ref Src Type = Non Referral Source because pharmacists don’t have referrals or scheduled appts
  • enter Scheduling Type = person
  • navigate to the Credentials and Certifications screen (4 pages down) and enter “PharmD” in the License for Display field
  • as a general rule, pharmacists are not authorizing providers for either medications or non‐medication (procedure) orders, so enter “No” in both the Meds Authorizing Provider? and Procs Authorizing Provider? fields.
    • in most states, pharmacists are not licensed to write orders –> to reflect this, enter “No” in the Inpatient Ordering Provider? and Outpatient Ordering Provider? fields
    • if your state does license pharmacists to initiate orders outside of protocols, change the above fields to “Yes” –> restrict this permission to only certain locations in the Authorized Locations field
  • navigate to the Inpatient Provider Information 2 screen (10 pages down) and enter the following:
    • Allowed Clinical Services: Pharmacy
    • Default Clinical Service: Pharmacy

THEN CLOSE THE RECORD (shift + F7)

21
Q

how to link an EMP and SER record

A

EMP record = willow user record; SER record = provider record

in reality, you would want to create the Provider (SER) record for a staff member before creating their User (EMP) record… that way, you could just link them as you build the User (EMP) record

22
Q

who needs an EMP record?

A

EMP record = willow user record

23
Q

what is the purpose of user templates in willow admin?

A

rather than making (and maintaining) settings in individual User (EMP) records, attach a template to a User record

a template is another type of record in the EMP master file

a template contains all the settings shared by a group of users with a particular job

24
Q

how do settings in a template and individual EMP records interact?

A

once a template is applied, settings controlled by the template are disabled (grayed‐out) in the User (EMP) record and the value from the template displays

templates allow you to assign settings based on job role, but users also need some location‐specific settings –> these settings are configured in each individual User (EMP) record

25
Q

why do various users need different in basket classifications?

26
Q

who needs a SER record?

A

SER = willow provider record

27
Q

what settings are made in a SER record vs. user EMP record?

A

EMP
- user-specific details (ID, password)
- in basket classes
- EMP template

SER
- provider type
- license to display
- write / authorize orders?
- specialty service

28
Q

why are SER records linked to EMP records?

A

a User (EMP) record and its linked template determines what a user sees and can do in Hyperspace, but if the user is a clinician who documents in patient charts or enters orders, they also need a Provider (SER) record

SER records specify:
- provider type
- license to display
- write / authorize orders?
- specialty service

29
Q

when might an admin want to import records rather than build them manually?

A
30
Q

why would you build in POC vs prod?

A

typically build starts in a proof‐of‐concept (POC) environment and is migrated to a testing environment

once tested, the data is migrated to the training environment and the production environment a(the live environment used by end‐users)

by building in POC, it prevents issues with live use of Epic since the build is not carried out in production; a change is only moved to production environment when it is has been tested and is ready for use

31
Q

what is the process of moving build from POC to prod?

A

typically build starts in a proof‐of‐concept (POC) environment and is migrated to a testing environment

once tested, the data is migrated to the training environment and the production environment a(the live environment used by end‐users)

32
Q

what type of data can Data Courier move?

A

Data Courier only works with master files that have Data Courier enabled and is designed to transmit static data, not dynamic data
