RX100 Willow Inpatient Fundamentals - Chapter 9: Dispensing Tools Flashcards
dispense queue
the Dispense Queue is an activity that allows your pharmacy staff to work off a real‐time, up‐to‐date electronic work queue, printing labels for orders as you are ready to prepare them
it is designed to work on a touch‐screen enabled public terminal, but can also be accessed by individual users from any workstation
if enabled in a Cart (CRT) record, that cart populates the Dispense Queue. any labels that would have printed instead appear in the Dispense Queue activity.
the Dispense Queue can also be enabled for first doses and redispenses in the Central Pharmacy (PHR) record
dispense preparation
activity used to:
- track whether a dispense has been prepared, when is was prepared, and who prepared it
- ensure that the products being dispensed match the order
- track the specific packages (NDCs) and lot numbers actually dispensed or used to prepare a dose
**intended to be used with a barcode scanner
the Dispense Preparation activity is used by technicians to document preparing a dose of an IV or a custom syringe. they scan the dose being prepared and the products used to prepare it.
dispense checking
the Dispense Check activity is used by pharmacists to document that they have checked a dispense after it’s been prepared, and it’s ready to go to the floor
dispense tracking
designed to track dispenses as they leave the pharmacy and arrive on the floor
Epic > Pharmacy > Dispense Tracking
the Dispense Tracking activity is used by pharmacy staff to record that they have sent doses to the floor, and by nurses or unit clerks on the floor to record that doses have been received
dispense status dashboard
dispense status dashboard (for a unit or pharmacy) > shows how long orders have been in process, the status of the dose (label queued, printed, dispense prepped, etc) among other details
how to print labels from the dispense queue?
how to locate dispense status?
order report > pharmacy actions > action summary for the “dispense” row
MAR message window > recent dispensing events in bottom right

what is the purpose of the dispense tracking activity?
to communicate prep status to nursing
how does the dispense queue activity change the dispensing workflow in a pharmacy?
workflow can drive label printing instead of label printing driving workflow!
how would a technician use the dispense preparation activity to document preparing a dose?
- scan barcode on dispense label (or manually enter)
- scan NDC barcode for each ingredient (or manually enter)
- once all ingredients have been scanned and prep is complete, click “Final Review” to send to the pharmacist queue
how can dispensing tools benefit a pharmacy operation?
FEWER UNNECESSARY DISPENSES - d/c’d orders are removed from the queue, modified orders update in real time
ACCURATE EXPIRATION DATES/TIMES - label print right before prep, so expiration dates Epic displays on the label (based on time of print and med stability) are more accurate
EFFICIENCY - labels can be sorted before printing; techs can open queue from any workstation whenever they are ready for more labels
FEWER LOST/RUINED LABELS - printing fewer labels at a time means fewer labels lost to printer jams and human error
