No. Only group outside the dept we can share is prosecutors.
Can an officer or detective run a background check to return a firearm to a person?
No. Only the Public Request Unit is authorized to complete NCIS firearms checks.
Can criminal history information be printed out?
Generally, no. A Lt can authorize to print out information for a investigation or emergency.

No. They are not able to comply with NCIC requirements.

Do individuals have a right to inspect and review their criminal history record maintained by the department?
Yes, and challenge what is in it.

No. Must provide a redacted copy.

No. Can be subject to civil liabilty and/or Dept discipline.

Immediatly send it to the legal unit.

- Requests for police reports.
- Requests for clearance letters.
- Fingerprint and background checks for concealed pistol license.
- Fingerprinting criminal justice applicants.
- Fingerprinting citizens for general purposes
- Processing applications for transferring ownership of handguns.
- Electronically redacting police reports for release to Online Police Reports.

What does the Crime Records Unit handle?
All requests for reports from other City departments, from other law enforcement agencies and from insurance companies.

Who must approve department corresondence, inlcuding official letters and emails, addressed to entities outside the Dept?
A Lt or higher. Blanket approval for routine/repetitive correspondance may be granted.

Can employees send Criminal Justice Information via email?
Only if it is encrypted and only to members of a criminal justice agency.
How are emails encrypted?
Type “COSSecure” in the subject line which will trigger encryption.
What do general distribution emails (SPDSWORN, etc) require?
Lt approval.

What occurs when a person accidently views a website that contains inappropriate content?
Document on the sections’ Offensive Material Internet log, which is retained for current year plus 3.
Who reviews the Offensive Material Internet Log?
Captain once a year. APRS also does an annual audit.
Can employees store NCIC info on Microsoft OneDrive?
Yes. But no other cloud servers.
