Q

A Gantt chart is a…

A

Stacked bar chart displaying the different activities invoked in a project and how long they will take.
As each activity is completed, the bars are coloured in which makes it easier for a firm to track progress

Q

Advantages of a Gantt chats and why we use them are…x5

A

Due to the visual element a wide audience can understand them which means there should be no confusion about what needs to be done.
Allows task delegation to different people and align team resources without overloading staff. This means staff are less stressed and a project is more likely to be completed on time.
Allows an overview of where the project is at any point in time which means managers know what still needs to be done and they can pick up anything falling behind schedule
Allow you to use your resources effectively as you get to see the project’s timeline where you can easily see how and where resources are being utilised
You can easily see which tasks are dependent on each other and schedule them in a way that they do not influence the overall progress in any way and team members share equal responsibility.

Q

Steps to creating a Gantt chart are…x8

A
  1. Identify each different activity that needs to be done to implement the strategy
  2. Decide how much time each activity will take
  3. Decide the order in which the activities must be done
  4. Create a table or spreadsheet
  5. Key in days, weeks or months as appropriate across the top
  6. Write each activity that will need to be done down the left hand side
  7. For each activity, draw a rectangular box from the start time to the end time
  8. Check that every activity appears on the chart.

Q

Advantages to Gantt charts are…x5 (detailed)

A

Members of project can see when their tasks need to be done and future tasks that depend on them. This means others can also see that, which motivates staff to work harder. Increased responsibility will satisfy employees and will make them feel valued. This reduces staff turnover.
Building a Gantt chart as a team helps improve communication and collaboration in org. This allows for uniformity and synchronicity of worker performance and effort.
Clear communication if everyone see the chart can also reduce confusion and improve decisions made. This improves competitiveness of org.
Helps managers to see which depend on other tasks to be completed first. This improves efficiency of the order of tasks completed.
Updates to charts when tasks are completed can help spot delays and mistakes which keeps the project on track to meet deadlines. Less mistakes are made, meaning the org is using resources efficiently, reducing costs.

Q

Disadvantages to Gantt charts are…x4

A

Can become cluttered and complex where there are many tasks, subtasks and team members in a project which can cause confusion among employees and the business will struggle to have a clear overview of org.
Is a static program which makes updating chart a time consuming process. This makes it less suitable for projects needing completed quickly.
Technological barrier as access to software is needed as without it, it’s impossible to update chart, assign and track chart
Requires efforts for managing and creating chart

Q

How does Gantt chart help decision making? X5

A

Identifies the various activities so that decisions as to what resources are required can be made
Visually sharing a project on chart which marks progress with a today line making it easier to track and meet deadlines
Helps to show how long each activity is scheduled to last so that efficient timetabling of resources, inventory and deliveries can be carried out
Identifies where activities overlap one another and by how much so that a manager can plan how to divide firms resources which means delays can be avoided
Identifies the critical path which will allow the manager to work out the most efficient timescale of the project

Essential techniques of CPA are…x5

A

Identifying each of the activities needed to complete a project
Calculate the time that will be taken by each activity
Working out which activities can be done simultaneously
Identifying which activities cannot start until the other ones are completed

Why are CPA’s used…x3

A

Determines critical activities and total float which can be delayed without making an impact
Earliest and latest each activity can start and finish
Shows the longest path of planned activities

Q

Advantages of CPA are…x4

A

Helps reduce the risk and cost of complex projects which improves chance of success
Provides managers with a useful overview of a complex project which helps to track progress
Encourages careful assessment of the requirements of each activity in a project which reduces chance mistakes or errors from being made
Helps spot which activities have some slack or float and could lead to reallocation or better allocation of resources.

16
Q

Force field analysis aids…

A

Decision making and summarises the factors that help or hinder the introduction of change

17
Q

Force for/help the change are…

A

Drivers

18
Q

Force against/hinder the change are…

A

Resistors

19
Q

Equilibrium is…

A

The current position where the forces are balanced
Driver=resistors

20
Q

Assets for change are…

A

Organisational strengths that help a firm when it tries to change but do not cause it to change

21
Q

For change to happen…

A

Drivers must be greater than resistors

22
Q

Assets for change examples are…x5

A

Experience in the market- transfer management techniques
Well-known brand name- customers more likely to buy
Committed workforce- highly skilled and motivated increases chance of success
Steady sales growth
Investing in systems to deliver best experience for customers

23
Q

Examples of drivers…x5

A

Rapidly growing market- lots of potential customers
Faster economic growth- population have disposable income to spend on goods
Increased competition in current market- saturated current market means there’s less chance of growth
Bulk buying- economies of scale reduces costs, lowering prices/higher profits
Broad portfolio- reduces risks and can target other market segments

24
Q

Examples of resistors…x4

A

Costs more to operate in another country
Job losses- high redundancy costs
Investments need to be made- may need to borrow, increasing interest rates reduce cash flow
CMA need to approve- could be blocked, wasting finance and time invested

25
Q

Advantages to force field diagrams are…x2

A

Identifies and analyses endurance of drivers, resistors and assets for change which helps business to make informed and high quality decisions
Business can implement measure to strengthen drivers, weaken the resistors and add to assets for change to achieve success.

26
Q

How to answer FFA (8 marks)

A

Template
Place drivers, resistors and assets for change into template with arrows of importance
2 explained assets for change, drivers and resistors
Evaluation

27
Q

Evaluation template

A

I recommend… (should the change happen and why) as the _____ are greater than the _______

28
Q

Disadvantage to force field diagrams are…x3

A

Time-consuming to gather information which may be out of date by the time the analysis is completed
Could result in equilibrium meaning more changes are required before decision is made
The length of the arrows is subjective which capsules result in changes being made which aren’t based on actual opinions of staff

29
Q

SWOT analysis is…

A

A tool used by management to help with decision making. SWOT analysis considers all internal factors (strengths and weaknesses) and external factors (opportunities and threats)

30
Q

Purpose of SOWT analysis is…x5

A

Helps with planning, deciding the way forward for business and looking at strategies that could be used
Can be used in any decision making however most often used in tactical and strategic decisions
Proactive decision making as part of a continuous process of how firm is doing now and what it should be doing in the future
Identifies opportunities early which can give org competitive edge
Tuns threats into opportunities and weaknesses into strengths

31
Q

Features of SWOT analysis are…x2

A

Consider from the point of view of the org and the point of view of the people they deal with
Crucial to be honest and realistic

32
Q

Advantages of SWOT analysis are…x6

A

Cost effective as no training or technical skill is required. This means no expert consultant is needed, only prior knowledge of staff which reduces expenses
Gain insight into market giving firm a better understand or competition, this gives firms the opportunity to formulate a plan to strengthen competitive position in market
Provides firm a clear view of their strengths which allows them to build on them to meet firm objectives
Highlights weaknesses which gives them a change to reverse and reduce them. This reduces damage that weakness cause
Showcases possible opportunities that lie ahead which gives firm a chance to draft strategic growth plans for future. This also gives firm competitive edge.
Helps identify threats and take necessary measures to deal with them. Firms can establish growth plans to eliminate possible threats

33
Q

Disadvantages of SWOT analysis are…x4

A

Can be outdated quickly which wastes time and effort of employees.
Lacks detailed structure which means key elements may be missed
To be effective, it must be repeated on a regular basis which is time consuming and difficult. Even harder to collect quality internal data in complex structures with parent companies
Org could oversimplify the amount of data used for decisions which means it’s easy to use insufficient amounts, making decision made less effective.
