How long should sponsor and indoc files be kept?

Within 10 working days of being informed of PG
(Essay) What are the responsibility of Command Sponsors?
Prior to new Sailor’s arrival
– Understand responsibilities and maintain role until new Sailor is integrated in the
command
– Be enthusiastic, willing to help, have a positive attitude toward the Navy, Command,
and local community
– Complete FFSC Sponsor Training
– Draw upon knowledge gained as a newcomer and previous experiences with the
sponsor program to guide and make improvements
– Contact gaining person ASAP via phone, email
– Write a personal letter to the new Sailor w/in 10 days of being assigned
– Include a PG questionnaire to obtain info on arrival needs and special circumstances
– Inform of their new command mailing address
– Refer to Military Homefront Website to gain community info
– Provide information about schools, housing, local area considerations, spouse
employment, etc
– Provide timely follow-up to answer questions and action requests
– Assist with housing and temporary lodging arrangements
– Confirm arrival times and means and arrange transportation.
– Encourage spouse communication (if applicable)
– Act as liaison for the new command and keep command informed of any changes to
arrival date or issues
AFTER ARRIVAL
– Arrange transportation and meet the new member and family upon arrival, escort to
temporary lodging, and help with immediate needs
– Assist with check-in procedures, travel claims, verification of pay, TRICARE enrollment,
etc
– Provide info for religious needs of Sailor and family
– Introduce Sailors to personnel in the command
– Continue to assist for the first few weeks after arrival and everyone within reason to
help new arrivals “settle in”
– Ensure new Sailors are enrolled in Command Indoc Program within 30 days of reporting
