Fortunately, there are some things that the sergeant faced with preparing a narrative-style evaluation can do to make his task a little easier and his final product a clearer, more useful one:

  1. An outline to organize one’s thoughts along the lines of the set
    criteria or guidelines to be followed may be helpful in getting started.
  2. Keep sentences and paragraphs short. Break up a long and complex line into two or more simpler, shorter sentences.
  3. Do not try to use technical words, the meanings of which may be unclear. The supervisor possessed of an ample supply of common sense will refrain from using “pet” phrases and catch words and instead use clear and concise terms which get to the
    point.
  4. End with a summary that stresses good points while listing again
    the areas of needed improvement.
  5. Watch for spelling errors and keep a dictionary handy while
    writing the evaluation. A computer word processing spelling
    and grammar check program will not catch every error
  6. A finished evaluation should be proofread carefully at least
    twice by its writer; once for content and clarity and once for
    errors in spelling or grammar. The writer should check to be
    sure that nothing has been omitted by accident.
