so when decided on who is required, the meeting will need to be scheduled for when these people are available there a number of tools that can be used to do this such as diaries, meeting scheduling software and calenders

the day and time a meeting is booked will affect the travel arrangements for example trains and buses only run at certain times and flights are avalaible at certain days at certain times at certian airports

this may mean instead of catching a train a longer drive may be needed
or booking a hotel room overnight
