What is a pocket diary?

A

what are the four points with regards to the issue of pocket diary?

A

1) issued by police stores to all divisions/branches/sections/stations
2) every police officer shall be issued with an official Pocket Diary and pen/pencil.
3) Pocket diaries issued to pol. officers are recorded in the pocket diary register kept at branches/divisions/stations.
4)must bear the stamp by the commissioner of police or the head of division/branch on the front side cover and numbered consecutively

A

the police office issuing the pocket diary shall affix their cetificate under the stamp with number, rank and name of the officer the diary is issued to and the date and place of issue

what is the pocket diary register process?

A

1) the officer-in-charge of the division/branch/section/station must keep a register of all the pocket diary recieved and issued by him.

2) the pocket diary register must have the number, rank and name of the officers who received pocket diaries and the signatures of the issuing and receiving officers.

3) when requesting pocket diaries from the officer-in charge of the division/branch, shall submit a return showing the date and to whom diaries were previously allocated.

what is the purpose of a pocket diary?

A

safeguard officer against allegations of dishonesty and acting in bad faith when performing his/her duties.

a) officer record all activities connected with the performance of his duties.

b) names, addresses, persons, observations, details of any investigations made and statements (where necessary)

c) record descriptions of wanted, kidnapped and missing persons, stolen and lost property, lighting-up hours and any other necessary matter.

what are the entries in keeping of pocket diary

A

1) entire diary is numbered consecutively.
2) ruled on the lhs approx. 2cm on each page
3) at the end of each day’s entry a line shall be ruled after it and start with the new day and date.
4) the time of entries are entered chronologically or ASAP.
5)The time is noted in the margin
6) corrections are initialed.
7) statement are verbatim
8) persons making report are required to sign pocket diary after reading it over
9) all entries shall be copied directly into the diary and not on loose paper.
