start the mail merge wizard and specify a template
complete step 1 by selecting the current document as the starting document
- click the mailings tab
- click the start mail merge button
- click step by step mail merge wizard
- click next starting document
- click next select recipients link
type a new recipient list using the mail merge wizard
- click the mailings tab
- click the start mail merge button
- click step by step mail merge wizard
- click next starting document
- click next select recipients link
- click type a new list
- the create link appears click the link
- click customize columns…
- click country or region
- click delete
- click yes
- click ok
- in the title column, type Ms.
- press tab
- in the first name column, type Carleen
- in the last name column, type Garcia
- click ok
- in the save text box type Rockland as the file name
- click save
- click ok
insert merge fields using the mail merge wizard
In the blank paragraph after the date line, use the mail merge wizard to complete step 4 and insert an address block merge field using the Joshua Randall Jr. format
- click the mailings tab
- click the start mail merge button
- click step by step mail merge wizard
- click next starting document
- click next select recipients link
- in the mail merge pane click the address block link
- In the insert the recipient’s name in this format list with Joshua Randall Jr. selected
- click ok
preview a mail merge using the mail merge wizard
use the mail merge pane to complete step 5 by previewing the merged document and excluding the Allison Salazar recipient
- click the mailings tab
- click the start mail merge button
- click step by step mail merge wizard
- click next starting document
- click next select recipients link
- click next mail merge
- click next preview your letters link
- to preview your letters click next button
- word displays the recipient Allison Salazar
- click exclude this recipient button
finish a mail merge using the mail merge wizard
use the mail merge pane to complete step 6 and merge all the recipient info to a new document
- click the mailings tab
- click the start mail merge button
- click step by step mail merge wizard
- click next starting document
- click next select recipients link
- click next mail merge
- click next preview your letters link
- click next complete the merge link
- click the individual letters link
- click ok
toggle field codes
- right click the “month” field results
- on the shortcute menu click toggle field codes
- right click the IF field
- on the shortcut menu click toggle field codes
- word displays “month” again
finish a mail merge by merging to a new document
- click mailings tab
- click finish & merge button [finish group]
- click edit individual documents
- click ok
edit a recipient list
- click mailings tab
- click edit recipient list
- in the data source box in the mail merge recipients dialog box click Rockland.mdb
- click edit
- in the 2nd entry click Salazar in the last name field and then type Thompson to replace the text
- click ok
- click yes
- click ok

- click company_name
- click the highlight merge fields button
