What is
communication?
Is extremely important in a business. The purpose of communication is to acquire information or pass it on to others who need it.
When can
communication take place?
Communication can take place when there is a sender or one or more receiver, a message and a medium (a way of communicating)
What is internal communication?
Is when communication is passed in a business. It could be the communication between workers or employees.
What is external
communication?
Is when information is passed outside the business. This could be between businesses or stakeholders. They need to be careful of their image.
What is formal communication?
Formal communication is when information is passed through official channels such as a manager to a
worker
What is informal communication?
Informal communication is when information is passed on through an unofficial channel such as through gossip or leaked information
What is horizontal communication?
Horizontal communication is when you communicate with people at the same level as you e.g. your colleagues in your team.
What is vertical communication?
Vertical communication is when you have to communicate between people bellow or above you in the hierarchal structure.
What are five benefits of effective communication?
1) workers will be well informed about the goals of the company
2) They will be able to give correct information to customers
3) They can create a better company image of knowing their business well
4) helps companies reach their objectives
5) helps improve reputation
When can
communication take place?
Communication can take place when there is a sender or one or more receiver, a message and a medium (a way of communicating)
How does someone choose the best method of communication?
They will need to consider;
- The content of the message
- The people/ person who needs to receive the information
- which method will insure the message is understood
What is oral
communication?
Can take place with face to face meetings, over the telephone, or teleconferencing.
What are the advantages and disadvantages of oral communication?
Advantages
1. No need for a record to be kept of what is said
2. People can immediately respond to understand
Disadvantages
1. Can be hard to explain complicated stuff
2. things may be forgotten
What is visual communication?
Is a term used to describe video conferencing and electronic notice boards, both using technology.
What are the advantages and disadvantages of visual communication?
Advantages
1. Can see facial expressions and shared documents
2. Don’t have to be in the same location– save travel costs
Disadvantages
1. No record of what is said.
2. cost of purchasing equipment
What is written
communication?
Is when it is in text; either hand written or electronic Such as emails
What are the advantages and disadvantages of written communication?
Advantages
1. Can be organised in priority and sent to others as well; privately or openly
2. Quick to deliver by hand in office
3. Emails are instant and low cost to set up
Disadvantages
1. Emails aren’t 100% secure
2. Costs money to print onto paper
What are graphical communication and its purpose?
It is drawings to convey information such as production drawings, images, graphs or charts to make complex messages easily understood.
What are five barriers to communication?
- external noise e.g. a party in background
- poor network coverage on phone
- Use of jargon (hard language)
- Poor relationships
- lack of writing/ social skills
Who is the recipient?
The person receiving the message
Name a disadvantage for communication by email, telephone, and face to face.
Email– can be hacked into/viewed by others
Telephone– can’t see facial expressions so meaning may be lost
Face to face– no precise record of events to pass on to others
What is teleconference?
A ‘meeting’ that takes place using telecommunication technology to enable people in different locations to speak to each other.
What is a video conference?
A meeting that takes place using ICT to enable people to see and speak to each other
