Customs Broker
An individual or company which provides customs clearing services to shippers of goods to and from another country.
Cost, Insurance, Freight (CIF)
A trade term requiring the seller to arrange for the carriage of goods by sea to a port of destination and provide the buyer with the documents necessary to obtain the good from the carrier.
Environmental Responsibility
The duty that a company has to operate in a way that protects the environment.
Environmentally Preferable Product
Eco-friendly products that do not harm the environment whether in their production, use or dispose.
Some of these going green products when in use, help conserve energy, minimize carbon footprint or the emission of greenhouse gases and does not lead to substantial toxicity or pollution to environment.
Ex Gratia Payment
In certain countries, it is customary to pay officials for the unhindered passage of goods. These payments might be described by some as bribes.
Fair Trade
A market initiative to insure that small farmers in developing countries are paid a fair market price that encourages independence and sustainability. Agriculturual products may be fair trade certified
Freight Forwarding Company
A third-party logistics provider which handles export shipments for customers using common carriers.
Greenwashing
A form of spin in which green PR or green marketing is deceptively used to promote the perception that an organization’s products, aims or policies are environmentally friendly. Evidence that an organization is greenwashing often comes from pointing out the spending differences when significantly more money or time has spent advertising being “green” than actually spent on environment sound practices.
No-Idling Policy
Idling cars & trucks emit air pollutants including oxides, sulfur dioxide, volatile organic compounds, carbon monoxide, carbon dioxide & particles, less idling means less wasted fuel, which can save money.
Outboarding
The pratice of conducting an event related to an existing meeting but not approved by the event’s host organization
Affiliate that doesn’t get approval to have a meeting.
Pro Forma Invoice
Financial forms (invoices, profit and loss statements, balance sheets, etc.) based on future expectations; provided or made in advance to describe items or projections.
Reasonable Accommodation
Any provisions that aids the participation of a person with a disability, as long as it does not create a hazard to the others, a major disruption in business or an undue financial or administrative burden.

Integrated into every aspects of planning the event. Considers environmental, social and economic factors. Being with the 4-Rs.

An event with balanced approach to economic activity, environmental responsibility and social progress.
Temporary Import Bond (TIB)
The surety covering articles imported into a country on a temporary basis, generally in lieu of paying import duties and/or taxes. The fee for the bond is non-refundable in most cases.

A concession of reward for booking a hotel room within the contracted room block for a meeting/event.

A sign designed to provide information for attendees about the program, changes to the program or other vital details.
In-house System
A system (usually computerized) within the organization for registering meeting attendees; also applies to handling reservations for lodging in hotels within contraced block.
Lead Retrieval
The process whereby exhibitors receive a potential customer’s contact information in a standardized manner. A system for capturing and follow-up on leads generated at an exhibition.
Marshalling Yard
A holding area where trucks or buses check-in and wait for instructions before delivering or picking up freight or passengers

Registration made via the web.
Pace Report
A document that tracks the pickup of rooms or registration of attendees on a regular basis, which assists in developing a history year over year.
Peak Night
Referring to the night during an event when most rooms are occupied by those in attendance.
Room Audit
An effective process designed to find attendees who locate and occupy rooms outside of the contracted room block within a hotel; the activity assists in avoiding attrition fees.
Room Block
Total number of sleeping rooms that are utilized and attributable to one event.
Rooms Outside the Block (ROB)
Rooms that are reserved by a conference attendee in a contracted conference hotel; but are not counted in the group contracted block.
Rooms Outside the Contracted Hotel (ROCH)
Rooms that are reserved by a conference attendee, but are not in a contracted hotel block.
Run-of-the-House (ROH)
1) Rooms given at random according to availability when the reservations are made
2) Flat rate for which a hotel/motel agrees to offer any of its available rooms (no suites) to a group. Final assignment of rooms is at the discretion of the hotel.
Sub-Block
Any group of rooms that is classified or separated differently than the general attendee block within the event-contracted block (ECB).
