In Clio, Bills travel through a workflow with a number of “states.” These states allow users to preview Bills, notify a senior member of the firm when a Bill is ready for review, edit a Bill, and finalize (approve) a Bill that is ready to be sent to the client

Small or solo firms may not need all of these steps. For example, a solo attorney doesn’t need to notify anyone else that a Bill is ready for review. For these firms, we allow them to simplify their billing workflow by hiding the Pending Approval state through their Bill settings on the Settings page

Here are the states:

  1. Draft state: This state allows you to review a Bill and make changes before sending the Bill to a senior attorney, or before approving a Bill and sending it to the client
  2. Pending Approval State: This state is used by firms where a Bill must be reviewed by senior staff before it can be approved. Bills in this state, along with the Draft state, can be edited without restriction
  3. Unpaid State: These are the Bills that have been approved and may have been sent to clients. Editing entries on approved Bills is disabled by default and approved Bills cannot be deleted, only voided. This is the only state where payments can be made on a Bill
  4. Paid State: This tab contains all Bills that have been completely paid or written off. If a paid Bill needs to be voided, all payments and credit notes must be deleted first
  5. All: This tab contains all Bills in all states including deleted and voided Bills
