Which of the 5 business principle?
-Crucial in business writing is your
decision in selecting the appropriate
subject for your sentence subject.
-Such decision is important because
different situations entail different
focus for the sentence subject
-As a general rule, always
opt for a reader-centered
writing that will show that
you have the interests of
your audience in mind
Decide on the right focus of the
sentence subject
your focus is to explain business
ideas, plans and reports.
Impersonal - Voice
You only use this non-threatening
verbs like think and feel when there
is bad news, difference of opinion
or even blame involved
I – Voice
Which of the 5 business principle?
-Every time you encounter the term
“writing style”, remember that it refers
to your way of expressing yourself-from
your choice of words to your preferred
way of building your ideas in sentences
and in paragraphs.
-Your writing style is responsible in creating a certain tone in your
messages
-Your goal in writing business is to
achieve a clear, concise, confident
and polite tone.
-One way to attain this is through a
consistent use of plain language and
by avoiding stuffy words and cliches
that may not be meaningful to your
reader
Use Plain Language over Stuffy Words
Which of the 5 business principle?
- Use of specific, clear and precise words that your intended meaning is accurately conveyed to the receiver of your message.
- Common among communication in the workplace is the preference for longer, more complex words and constructions in the belief that such construction appears more formal and carries a more objective tone
- However, this is one of the many
false assumptions about workplace
communication. - As mentioned earlier, your goal in
creating your business messages is
to achieve a clear, concise ,
confident and polite tone
Choose more concise words
Which of the 5 business principle?
- With the goal of communicating
clearly to your reader, it is vital
that you construct your sentences
in a way that it will help your
reader create meaningful images
in his or her mind
-One way to achieve this is through
the use of active voice where the
emphasis is placed on the subject of
the sentence, the doer specifically of
the action, which makes the
sentence more straightforward and
easy to understand
Use active voice
Analyze the general pattern of the voice and identify if it is passive or active?
(Doer as subject+verb+object)
We began our advocacy of
helping the Malate informal
settlers early last year
Active Voice
Analyze the general pattern of the voice and identify if it is passive or active?
(Object as Subject + Be Verb +
Verb + Doer (optional))
Our advocacy of helping the
informal settlers of Malate
began last year
Passive Voice
Take note though that you are not
forced to use the active voice all the
time, Guffrey (2004) provided the
specific uses of the passive voice in
workplace communication.
o When you want to be diplomatic
about pointing out a problem or
error;
o When you want to point out what’s
o being done without taking or
attributing either the credit or
blame; and
o When you want to avoid personal
pronouns (I/we) to create an
objective tone

-The tone that you create through
your writing style is responsible in
conveying your attitude towards the
receiver of your message.
-You are expected to be diplomatic at
all times in your communication as this will be your key in building professional and favorable relationships
Use diplomatic and constructive
terms
