Phrase 1 : The Research Phase
The Research should determine the purpose, goals and best ways of ensuring that the goals and objectives for the event is achieved . In this phrase you should consider these questions:
1.Why { the goal or reason are needed for the event}.
- Who { The audience or guests}
- What { activities or entertainment}
- Where { Venue}
- When { The time }
- How { Resources needed to execute the event}
Phrase 2 : The Design
To design an special event pick general theme, size, and audience. Pick idea or look for the event, like colors, decorations, and clothing and plan how the event space will be arranged , including seating, staging, and exhibit areas .
Phrase 3: Planning
A planning special event it addresses all the components of an event such as the start and end dates, budget, venue, marketing, attendees and more.
Critical activities conducted during this phase include the following:
**Seeking sponsorship
** Marketing and promotions
**Working through the event work flow
**Establishing a budget
Phrase 4: Coordinating
This means that someone has to ensure that all the different teams are carrying out their functions effectively, in the be required, time for the event to be successful.

It is the final step in the planning process, where the goals and objectives set at the start of an event are used as benchmarks to determine its final outcomes and success.

A Terms of Reference (TOR) is a written document used to outline the duties and responsibilities for a person or team tasked with carrying out specific functions. A TOR is mostly used by professionals when planning special event.
The Tor answers the following

- What are the functions to be untaken by a particular person or group.
- Who will be responsible for the different task
- What are the timelines for the

The event planning schedule outlines all the activities that should take place for setting up place for the setting up of the venue and the execution of the event .
3.The event work plan
The event work plan outlines the tasks to be accomplished, the persons responsible for the tasks and the timelines the start and dates for the completion of the task.
4.Event Run Sheet or Detailed outline
An Event Run Sheet is a detailed timeline or schedule that outlines the order of activities, tasks, and important details for an event.
