What is Stakeholder Management?
Links very closely to Communications Management but with a specific focus on continuous communication with stakeholders to understand and manage: Stakeholder needs and expectations; Stakeholder issues and concerns; Stakeholder conflicts; Stakeholder engagement
What is 13.1 Identify Stakeholders (I)?
The process of identifying the people, groups, or organizations that could impact or be impacted by any aspect of the project
What is Stakeholder Analysis?
A technique that involves identifying ALL stakeholders and determining their impact and/or influence on the project. Often involves the development of a power/influence grid that helps categorize how, what, and when to communicate with each stakeholder.
What are the four quadrants of the Power/Interest Grid with Stakeholders?
(Power, Interest) (High = H, Low = L)
Keep Satisfied (H,L) , Manage Closely (H,H) , Monitor (L,L), Keep Informed (L,H)
What should you include in a stakeholder register?
Name, title, role in project, contact info, requirements and expectations, impact and influence, responsibilities, other important info
What is 13.2 Plan Stakeholder Management (P)?
Results in a Stakeholder Management Plan that contains details on how stakeholders will be managed effectively.
Part of planning is assessing the engagement level of all stakeholders.
What are the 5 different stakeholder engagement levels?
Unaware: Unaware of project and potential impacts;
Resistant: Aware of project and pot. impact, and resistant to change;
Neutral: Aware of project yet neither supportive nor resistant;
Supportive: Aware of project and pot. impacts and supportive to change;
LEading: Aware and actively engaged in ensuring project is a success
What does a Stakeholder Management Plan include?
Stakeholder register, desired and current engagement levels of key stakeholders, scope and impact of change to stakeholders, identified interrelationships and potential overlaps between stakeholders, stakeholder communication requirements.
What is 13.3 Manage Stakeholder Engagement (E)?
PMBOK states that it involves activities such as:
Engaging stakeholders at appropriate project stages to obtain or confirm their continued commitment to the success of the project;
Managing stakeholders expectations through negotiation and communication, ensuring project goals are achieved;
Addressing potential concerns that have not yet become issues and anticipating future problems that may be raised by stakeholders;
Clarifying and resolving issues that have been identified;
Recording lessons learned in dealing with stakeholders
What is 13.4 Control Stakeholder Engagement (M&C)?
Includes:
Reassessing the stakeholder list to determine if new stakeholders need to be added to register;
Monitoring existing stakeholder positions, influence, or engagement to determine if they have changed;
Obtaining input from the stakeholders on how engaged they feel (survey them);
Updating stakeholder register, stakeholder management plan, and communications management plan, PM plan, or any other project document as required.
