- p 352. CREATING RELATED RECORDS THROUGH A PORTAL. Portals can and do more than just show RELATED RECORDS. They can also:
help you create RELATED RECORDS.
- In an INVOICE-LINE ITEMS layout, what is the benefit of creating RELATED RECORDS through a PORTAL?
a. You don’t have to LEAVE the INVOICE LAYOUT to enter all the LINE ITEMS you need
b. When you create the RELATED RECORDS without leaving the INVOICE LAYOUT, FileMaker AUTOMATICALLY adds the CORRECT INVOICE ID to each LINE ITEM FOR YOU.
- When you create a RELATIONSHIP in the RELATIONSHIP GRAPH, there are THREE SPECIAL PROPERTIES you can set:
a. Allows the RELATIONSHIP creation of RECORDS
b. SORTS the records BEFORE IT DISPLAYS THEM
c. Allows the RELATIONSHIP to DELETE RELATED RECORDS.
- How do you SET those THREE SPECIAL PROPERTIES?
DOUBLE CLICK on the RELATIONSHIP LINE in the RELATIONSHIP GRAPH.
- EDIT RELATIONSHIP dialog box
–>under LINE ITEMS,
turn on ALLOW CREATION OF RECORDS IN THIS TABLE VIA THIS RELATIONSHIP.
Now, if you put the LINE ITEMS::DESCRIPTION field in the INVOICES LAYOUT, FileMaker lets you:
type in the field EVEN WHEN THERE IS NO RELATED LINE ITEM RECORD.
- So you type in the LINE ITEMS::DESCRIPTION field you just put in the INVOICES LAYOUT. What does FileMaker do?
It immediately CREATES an NEW LINE ITEM RECORD for you and AUTOMATICALLY ENTERS THE CORRECT VALUE in its INVOICE ID FIELD TO MAKE THE TWO RECORDS RELATED.
- Since a RELATIONSHIP GOES IN TWO DIRECTIONS, you get to pick from the SAME THREE OPTIONS for BOTH TABLE OCCURRENCES INVOLVED IN THE RELATIONSHIP.
IF YOU NEED A PORTAL TO DISPLAY RECORDS THROUGH THAT RELATIONSHIP, THEN THAT’S THE SIDE THAT NEEDS TO ALLOW RECORD CREATION.
- If you delete an INVOICE RECORD, how do you delete the RELATED LINE ITEMS?
In the EDIT RELATIONSHIP dialog box, under LINE ITEMS, turn on DELETE RELATED RECORDS IN THIS TABLE WHEN A RECORD IS DELETED IN THE OTHER TABLE. Do this because a LINE ITEM WITHOUT AN INVOICE IS MEANINGLESS.
