Ch 3 - Working in Teams Flashcards
Name Bruce Tuckman’s four stages of teaming.
Forming
Storming
Norming
Performing
Define Forming Stage of teaming and name the six steps.
Strategic Planning and getting to know teammates:
Step 1: define mission and objectives
Step 2: identify project outcomes (deliverables)
Step 3: define team member responsibilities
Step 4: create a project calendar
Step 5: write out a work plan
Step 6: agree on how conflicts will be resolved
What are the four main points to nail down in step 1 of the forming stage of teaming: Define the Project Mission and Objectives?
Subject - what’s wanted/not wanted - boundaries
Purpose/Mission Statement - what/why
Readers - readers’ profiles
Context - context analysis
What occurs during step 2 of the forming stage of teaming: Identify Project Outcomes?
Project outcomes are visible and measurable results of the team efforts:
Include 2 to 5 measurable goals to show progress.
Map goals to deliverables.
What occurs during step 3 of the forming stage of teaming: Define Team Member Responsibilities?
- Identify ways each member can best contribute
- Discuss any time limitations or conflicts
- Assign roles (coordinator, researcher, editor, designer/graphics, etc. to be performed in addition to writing tasks)
- Divide writing tasks
What occurs during step 4 of the forming stage of teaming: Create a Project Calendar?
Create shared calendar/project management file.
Use Backward Planning to determine milestones.
What is a Work Plan?
Description of how the project will be completed.
Can be simple outline, or complex document detailing all strategic planning results.
What does step 5 of the forming stage of teaming: Write Out a Work Plan do?
- Identify the mission and objectives of the project
- Lay out a step-by-step plan for achieving them
- Establish a project calendar
- Estimate a project budget, if needed
- Summarize the results/deliverables of the project
What are some items to agree for step 6: Agree on How Conflicts Will Be Resolved?
- How important decisions decided - majority rule? full consensus?
- Referee for deadlocked disagreements
- Process for calling a team meeting to resolve conflict
- Process for altering project plan, where needed
Define Storming stage of teaming.
Managing Conflict
Tension tends to rise as members:
- Resist suggestions from others
- Have doubts about the work plan
- Compete for resources or recognition
- Resent others for not listening
- Want to change objectives
- Raise ethical and political issues
- Believe they are doing more than their fair share
Methods of managing conflict in the Storming stage of teaming.
- Run effective meetings
- Mediating
- Firing a team member
Factors to Running Effective Meetings
- Choose a meeting facilitator
- Set an agenda
- Start and End promptly
- Address each agenda item separately
- Encourage participation
- Allow dissent
- Reach consensus and move on
- Record decisions
- Recap each item at end of meeting (action items)
- Look ahead (next meeting date, expectations, new facilitator, if changing)
What are the Steps of Mediation?
1) Choose a mediator
2) Both sides state positions
3) Identify the issue(s)
4) Prioritize issues
5) Address each issue separately
6) Write down the agreement
When and how do you Fire a Team Member?
After poor performance:
- first, mediate the problem
- second, if decide to go forward, write an agreement detailing exactly what is expected
- third, if doesn’t remediate, approach supervisor to remove person from team
Define Norming stage of teaming.
Determining Team Roles:
- Revising objectives and outcomes (from discovered flaws in work plan)
- Redefining team roles and redistributing workload (based on what learned in Storming about skills and strengths)
- Going mobile and virtual (less in-person communication should be required to stick to the work plan and communicate regularly)
