Cloud storage is data that is stored on remote server
Servers give massive amount of space to transfer massive files and give others to access files
Advantages - Data is secured, collaboration as files can be accessed by others
Disadvantages - Internet connection, servers attacked by hackers
Personal use - Can be used to backup contacts, music, image, don’t need an external hard drive, Share photos by uploading to cloud and sending link
Professional use - Backup data in case of attack on business, access documents while working off-site

Gives access to software, resources and information via virtual server such as Google Docs and Office 365
Pay subscription to whatever software needed
Can allow more than one person to concurrently work on the same documents. Different geographical areas and still can be accessed
Advantages - Off site backups are more secure, saves money as IT staff dont need to maintain software
Disadvantages - No control over security measures, inaccessible if theres a network outage
Personal - Saves money and space on devices, Don’t have to worry about downloads, upgrades, back up and security measures are sorted by company
Professional - Saves time as software is already set up, demand of processing power and storage is never exceeded

Managers should compare cost of buying software or to use cloud to see best option
Provides flexibility in terms of meeting the needs of the workforc

VPNs - Creates a private network but allows person to be part of LAN while working remotely, all data transferred is encrypted, doesn’t allow collaboration
Remote desktop technology - Gives authorised access to desktop outside of office, used by Apple to fix problems, Microsoft Remote Desktop Utility allows users to access files as well as business LAN, cannot send large amount of data as it creates lag
What are the factors that affect use and selection of online systems
Security - Should ensure the website uses SSL which encrypts data
Cost - Systems come with subscription fee and costs for fast broadband
Ease of use - Should be easy to use as not all employees would have IT knowledge. Accessibility features
Features - All feature should be usable
Connectivity - Needs to be a fast broadband especially if large files are around
