What is communication?
the transferring of a message from a sender to a receiver, who understands the message
What is a message?
the information/instructions being passed by the sender to the receiver
What is the importance of effective communication?
we communicate everyday, ineffective communication can lead to misunderstandings and serious consequences
What is internal communication?
communication between members of the same organisation
What is external communication?
communication between the organisation and other organisations/individuals
What are some examples of external communication?
orders for goods from suppliers, sending information to customers, advertising goods and services, asking customers to pay bills on time
What is the difference between internal and external communication?
whom you are communication with
What is the process of effective communication?
- transmitter/sender
- medium of communication
- receiver
- feedback
What is one way communication?
a message that does not need a response
What is two way communication?
a message given to receiver and a response is given, where a discussion about it occurs
What are the advantages of two-way communication?
clear to sender that the receiver has gotten the message and understood/acted upon it
both people are now part of the process so the receiver feels recognised and motivated
What are the communication methods?
written, verbal and visual communication
How do you know when to choose the appropriate communication method?
speed, cost, detail, leadership style, receiver, written record, feedback
What are some examples of verbal communication?
face-to-face, telephone conversation, video conferencing, meetings/team briefing
What are the advantages of verbal communication?
quick communication given out, immediate feedback, body language
What are the disadvantages of verbal communication?
can’t tell if everyone is listening/understood, no accurate/permanent written record
What are some examples of written communication methods?
letters, memos, reports, notices, text messages, email, social networking sites
What are the advantages of written communication methods?
hard evidence, complicated details to refer, copied and sent, electronic communication = quick and cheap
What are the disadvantages of written communication methods?
direct feedback isn’t always possible (information overload), can’t see if message has been received, jargon, no body language
What are some examples of visual communication methods?
films, posters, charts/diagrams, photographs/cartoons
What are the advantages of visual communication?
appealing/attractive representation of message
can make written message clearer with diagram to illustrate point
What are the disadvantages of visual communication?
no feedback from receiver, may be difficult to interpret and cause misunderstanding
What is formal communication?
messages sent through established channels using profesional language
What is informal communication?
when information is sent and received casually using everyday language
What are the directions of communication
downward - manager to subordinate
upward - subordinate to manager
horizontal - same level in organisation
What are communication barriers?
factors that stop effective communication.
any part of the effect communication process doesn’t work it acts as a barrier to communication
