Tableau CRM Assets Flashcards
What is an app?
An app is a purpose-built set of analyses and answers about a specific area of your business.
After creating dashboards, lenses, and datasets, you can organize them into apps to present dashboards in relevant order, and share them with appropriate groups.
Apps can run presentations.
My Private App is visible only to you and cannot be shared; store assets with sensitive data or WIP dashboards.
Shared App is the opposite, accessible by anyone with access to Tableau CRM; you can still ensure stricter security on datasets through row-level security.
What is a lens?
A lens is a saved exploration.
It is a visualization of data in a dataset.
It’s used to explore data graphically and to build queries for a dashboard.
When you click “Explore” on a dataset, it creates a new lens.
You can add it to a dashboard by clipping it, called “Clip to Designer,” this will be added as a step in a new dashboard in the Query Panel.
What is a dataset?
A set of specially formatted source data, optimized for interactive exploration.
You can create a dataset by combining data from other datasets, each in turn containing data from multiple sources and datasets.
Can contain data from a single Salesforce object -OR- it can contain data combined from different objects.
You can combine data from Salesforce with external data.
- Required for Tableau CRM, but not for Salesforce Report Builder
- Tableau CRM datasets pull all the data together first, so it’s instantly available when opening a dashboard
- It’s considered “de-normalized” bc the preprocessing work is already done
- Datasets compress and index their contents, so querying is super fast
What is a dashboard?
A curated set of charts, metrics, and tables that gives you an interactive view of your business data.
An interactive collection of widgets that visualizes data query results.
Content can be broken up into multiple pages like tabs.
You can start from scratch or use a template, but templates can only be applied to new dashboards, not existing ones.
You can save multiple views of a dashboard (w. filters applied), name them, save them, and share the URL with others. Otherwise, only you can see the views, others see the original.
What is a widget?
A basic building block of a dashboard, added to perform a certain function.
Widgets snap to a grid.
- Number Widgets: track critical business metrics
- Chart Widgets: are interactive visualizations that summarize data
- Table Widgets: show record-level details
- Compare Tables: lets you group rows & add columns based on calcs - Image Widgets: add graphics and icons
- Text Widgets: add labels and short descriptions
- Container Widgets: group widgets or create sections
- Navigation Widgets: allow users to move to other pages
- Link Widgets: let users jump to a page, dashboard, lens, step, or URL
- List Widgets: allow users to facet all charts in a dashboard, similar to a filter
What is a conversational query?
Have a conversation with your data and add the results to your dashboard.
A conversation query starts with a word or two from you, then Tableau CRM provides suggestions you can accept or edit.
- From Setup, enter “Analytics” in the Quick Find box and click Settings
- Make sure Enable Conversation Exploration is checked and Save
- From dashboard edit mode, click the down arrow then click Conversations
- Select the dataset and type your question in the textbox
- A visualization will appear
- Hover over it to see the drop-down arrow and click Clip to Designer
- You can drag the query to your dashboard
What is a notification?
Notifications are alerts that Tableau CRM can send you when a goal or measure reached, exceeded, or falls below your mark.
Attach notification criteria to widgets in dashboards, and select when to run the queries.
You can see notifications in Tableau CRM, Lightning Experience, Tableau CRM for iOs, and email. Add recipients from your org to the email distribution list to notify everyone at the same time.
To set them, you need Use Tableau CRM Run Reports permission.
To email to others, you need Notification Emails: Add Recipients permission.
Each user can set up to 10 notifications.
They can be on any widget except timelines & values tables.
What is a watchlist?
Watchlists enable you to get stock-ticker style tracking for your dashboard metrics.
Capture and track up to 20 KPIs across different dashboards, plus historical trending and track them all in one place.
- Watchlist metrics can only come from dashboards you have access to
- Watchlist can only display an item’s metric value starting from the time it was added
- If access to a dashboard is lost then restored, the metric remains on the Watchlist but it doesn’t fill in any gaps
What is a collection?
Collections are like playlists for your data, enabling you to curate, manage, and share items, even if they’re spread across multiple apps.
Collections are like notebooks, and the pages inside are dashboard pages.
Collections let you organize related dashboards together.
Follow Dashboards
You can follow dashboards to get the latest about a dashboard in your Chatter feed.
You’ll be in the loop on conversations about the dashboard and the data displayed in its charts.
All Tableau CRM users can make comments on dashboards by annotating widgets.
If you follow a dashboard, you’ll see those comments as posts in your Chatter feed.
Annotations
Annotations are comments on dashboards or widgets on a dashboard.
You can attach screenshots if you have filters to share what you are reacting to.
- Hover over the upper right corner and click Annotate to open the Annotations Panel
- From here, you can enter your comment
- All widgets that have annotations will have a blue border with a number in the upper left corner
Annotations can be either open or resolved. Click the check mark to resolve and remove it from the open list. You can always reopen it or delete it.
Annotations become detached when the widget they were attached to is deleted from the dashboard. If you see a blue circle at the bottom of a dashboard, click it to see detached annotations.
