Q

Wiki: Implementation: Establish Your Master Project List

When should you create a Workorder?

A

The first step to utilizing all of the features RedTeam offers is to enter all of your projects as Workorders. Any time a job is awarded or an Invitation to Bid is received, you should create a Workorder in RedTeam. You will fill out the initial form with information such as the Customer, a contact, Project Manager, work location, pre-bid and bid dates/times, performance constraints, and a work description. RedTeam will assign each job a unique Workorder number, and the records can be accessed from anywhere you can log on to the application.

Once it has been created, the Workorder will appear in your records in

A

Draft Status. You may also mark Workorders as favorites for easy access upon logging in. At that point, you can begin to add pertinent information about the project to your Workorder by uploading plans and specifications, attaching the Contract, and setting up the Budget.

Q

What is the next step after creating a Workorder?

A

As you add projects to RedTeam as Workorders, you should remember to include any and all plans and specifications that have been provided by the Customer (or Architect, etc.). This will be especially important for the Estimating team when they begin to create the Takeoff.

Q

Why won’t RedTeam allow you to upload a copy of the contract?

A

The Contract, being the sole source and basis of all work to be performed, should always be available to the appropriate and responsible parties in order to complete a project successfully. RedTeam helps you achieve this by allowing you to upload a copy of the original Contract to your Workorder, making it readily available and accessible to all the right people.

Q

How do you attach the Contract to a Workorder?

A

To fully execute the attachment of the Contract to a Workorder, you will also need to add the proposed amount of the contract and duration of the project. You can input both of these under the Contract tab once the Workorder has been moved from Draft to Request status.

Q

How does the Budget come to be in RedTeam?

A

In RedTeam, the original detailed Takeoff cost estimate is typically converted to a Budget, and the project Budget is subsequently used as a guide for project management.

Q

When should you set up the Budget?

A

Being the foundation of the project control process, begin setting up the Budget after the initial Takeoff is complete.
To the extent that costs are within the detailed cost estimate, then the project is thought to be under financial control. By managing your processes in RedTeam, most of which are inextricably linked to the Budget, overruns in particular cost categories can help to quickly identify potential problems and give an indication of exactly what problems are being encountered.
