The presentation of business information
Outline the importance of presenting business information
-Enables businesses to identify opportunities and threats in the market
-Enables businesses to share their financial performance with internal and external stakeholders
-Attracts and retains investors and improves the image of the business
-Increases sales and profitability
Differentiate between verbal and non-verbal presentations
Verbal
-Refers to the use of speech by the presenter to convey a message to stakeholders
-Oral presentation, Recorded presentation, Question and answer
Non-verbal
-Refers to the use of written words to convey a message to stakeholders
-Business reports, Questionnaires, Financial reports
Identify types of visual aids
-Tables: is a set of facts and figures arranged in columns and rows
-Bar graph: is a diagram showing how 2 or more sets of data are related
-Line graph: it gives an indication of how trends have changed over some time
-Pie chart: is a circle divided into segments, which are represented with percentages
-Handouts: are copies of a presentation where the content of multiple slides is displayed on a single/multiple pages
Transparencies
-Summarize the text that will be included in the transparency
-Keep the info on the transparency short and simple
-Choose a font and size that will be easy to read
-Choose constrasting colors for the transparency
Posters
-Use the title on the poster to draw the attention of the reader
-The poster must be designed to be attractive and eye-catching
-Include a few words on the poster
-Use contrasting colors on the poster
Handouts
-The handouts must complement the presentation using summarized notes
-Prepare a cover page with the title and details of the presenter
-The handout must include info like definitions/tables/illustrations
-Limit the content of the handout to 2-4 pages
Discuss factors that a presenter must consider when preparing a presentation
-Be clear about the purpose of the presentation
-Include visual aids that will enhance the presentation
-Include simple language in your presentation
-Be familiar with the background of your audience, so that your presentation speaks to their area of interest
Explain the reasons why business presentations must be in a written format
-Written business presentations provide the organization with an opportunity to promote the corporate image of the organization
-The content of a written business presentation is adaptable and could easily be amended
-New/recent info could easily be added to the presentation
-Stakeholders/audience can interact with the business presentation after the presentation.
State types of written information
Business Reports
- A formal written report issued to bus. stakeholders consisting of a detailed overview of the status of the organization
Business Plans
-is a formal written document containing the goals of a bus., the methods for attaining those goals, and the timeframe for the achievement of the goals
Informational Reports
-provide stakeholders with data/info relating to certain events, and doesn’t include any additional inputs.
Research reports
-are documents that outline the processes, data, and findings of a systematic investigation
Outline steps in report writing
1) Decide on terms of reference
2) Conduct research
3) Write an outline
4) Write the first draft
5) Analyze data and record findings
6) Recommend a course of action
7) Edit and distribute
Analyze a business report and recommend areas for improvement
-Determine whether the correct terms of reference were included in the report
-Infuse feedback from the audience/stakeholders in the next business report
-Consider whether the recommendations were aligned with the findings
-Ensure that the outline of the business report includes all the sections of the business report
Outline factors that must be considered when composing a flyer
-Decide on the main theme of the flyer
-Limit the number of words on the flyer
-Provide info about products/services
-Insert contact details of the business
Explain how to respond to questions about work and presentation and handle feedback after a presentation
-Listen to each question carefully and ensure that you interpret the question correctly
-Restate the question for the understanding if you are uncertain about the question
-Remain polite/courteous/professional when responding to questions
-Refrain from becoming involved in a debate/argument with the person/s posing the questions
