What is a Stakeholder?
People who have an impact on the success of the event or who can be affected by the event
Examples of Internal Stakeholder?
Organization owner, Event owner, finance, Procurement, Technology, Legal & Risk management, travel department, sales & marketing, security, ethics and compliance, human resources, training & development, facilities management, employees and labor unions, stockholders
Examples of External Stakeholder?
Participants/attendees, suppliers (hotel, venue, event management companies, site selection company, registration company, audio visual company, exhibit build and management specialists), media, Partners and contributors (exhibitors, sponsors, advertisers, education content providers), local community organization and businesses
What is an Internal Stakeholder?
Typically business owners, other departments, managers, employees, and internal customers or consumers.
What is an External Stakeholder?
Includes anyone affected by the meeting or event
What is procurement?
Responsible for sourcing, contracting, and paying for goods and services
What information is needed for a Stakeholder profile?
Stakeholder details(name/job/title/role), Connection, key values, sphere of influence, preferred communication channels, key stakeholder objectives of events, measures of success based on previously defined KPIS
Establish Stakeholder categories and decide on level/method of interaction based on:
Level of interest, degree to which their work will be affected by the event
Tips for a Stakeholder Communication plan:
Tailor communication plan to the recipients, plan should be culturally sensitive, complexity of event and geographical spread of stakeholders to be considered, schedule meetings well in advance, include all pertinent stakeholders, set a specific agenda, provide an executive summary after each meeting
Steps for Maintaining Long-term relationships

When working with other cultures, be sure to research protocols involving:
Expectations about relationship building before trust can be built, who provides the agenda and conducts the meeting, proper protocol of seating and hierarchy, cultural meaning of body gestures, adherence of time schedule, formality of written material, conclusion and follow-up to the meeting.
