Exceptions

A

(notify you of outstanding tasks related to an offender under supervision that require action on your part). The Caseload Management Report screen indicates exceptions for all offenders within your caseload. It is your responsibility to review and monitor Caseload Management Report screens on a monthly basis to identify and resolve any generated exceptions.

OBIS-generated exceptions, or outstanding tasks, are typically denoted by the letter “R” for reminder or “O” for overdue in the Offender Detail portion of the Case Management Summary screen

Case Management Summary screens can generate several types of exceptions, including:

• residence verification
• employment verification
• urinalysis results
• treatment referral
• data entry reminders

Clear Exceptions

A

After identifying outstanding tasks, take immediate action to clear them by reviewing any exceptions with an offender to address deficiencies in their conditions of supervision.

Be familiar with the reasons why OBIS generated the exceptions and how to clear the exceptions following Department guidelines.

Clearing exceptions may be as simple as entering missing data in the appropriate OBIS screen or entering the result of a urine test. It can be more involved, such as performing a curfew check or conducting a search of an offender’s residence, and then entering the appropriate information in OBIS.

Some exceptions may be time sensitive and require prompt action. Document all actions taken to
resolve OBIS-generated exceptions in case notes accurately and completely, following Department policy
