Quality, PMP, Procurement and Soft Skills Flashcards
In the concept phase we should discuss the project with the _____ and any other _____ we should ask them questions under the PESTLE banner
Project sponsor and any other key stakeholder
PESTLE Analysis looks for an analysis the various factors that affect an organisation in respect of ?
Political , environmental, sociocultural technological ,legal , economical
The pestle Analysis show be done throughout the project in particular when something ?
Changes
Procurement is defined as ?
The process by which products and services are acquired from an external provider for incorporation into the project programme or portfolio
The procurement strategy is defined as
The high level approach for securing the goods and services required from an external suppliers to satisfy project , programme and portfolio needs
At the start of the project we need to consider any ________ that may be required.
Contracts
The procurement process involves deciding on the requirements for the work and then establishing ?
A list of suppliers who could do that work
We usually qualify the supplier list making sure that they meet our required expectations perhaps taking up ?
References or checking financial status
When we have a list of suppliers is normal to send them an ______ to tender for the work . The suppliers reply to the tender and we evaluate the replies down to a shortlist. The shortlisted suppliers are invited for a meeting and then asked for their best and final offer . Once agreed we award a ______
Invitation
Shortlist
Contract
APM type of contracts : Comprehensive contract -
- One supplier provides everything
- The main risk here is that we have invested in a single source and hence a possible single source of failure
APM type of contracts : Sequential contract
- a supplier does the first part of the work and depending on performance may be awarded subsequent contract to complete the work or we may place the work elsewhere
- doing this can lead to problems with handover and the overall cost is likely to be larger
APM type of contracts :parallel contract
- we can manage a set of suppliers with parallel contracts , once to each specialist area and perform the management ourselves
- least expensive options but does require significant input from ourselves
APM type of contracts : Subcontract
- very common type of contract
- we let a contract to a supplier who then let’s part of it to another or sub contractor
- we need to understand that relationship and the way we can communicate with the sub contractor
Pricing mechanisms - lump sum
- the contractor quotes for the whole job and that is what we pay
- this requires us to specify what is required as the contractor is taking the risk
Pricing mechanisms - time and materials basis
- commonly used in emergency situations or when we are not able to specify our requirements
- the contractor is paid for all their time and materials sometimes with an additional profit element
Quality is defined as ?
The fitness for purpose or the degree of conformance if the outputs of a process or the process itself
Quality management -
A ridiculousness for ensuring the outputs, benefits and the processes by which they are delivered, meet stakeholders requirements and are fit for purpose.
Quality planning -
An activity that takes the deigned scope and specifies the acceptance criteria used to validate that the outputs are fit for purpose to the sponsor
Quality control :
Consists of inspection , measurement and testing to verify that the project outputs meet the acceptance criteria defined during quality planning .
A simple process would be to ______ the products at draft , interim and final stages. The quality testing activities will be _________.
Test
Product dependant
People with quality assurance responsibility make sure that the Checks are done + that the people doing the checks are __________ and that any test equipment used is correctly calibrated.
Correctly qualified
Quality assurance also set up the organisations _______ and _______ for quality management and create the quality management system of one is required
Processes and procedures
During the definition phase of the project the team will define with the user the quality standard that are required this includes the :
- Acceptance criteria for the project
- Any standards the project will use
- The quality control process
- The quality assurance process
- The responsibilities for quality within the project
These are documented within the project quality plan which are part of the project management plan
Benefits of quality planning include :
Reduced cost and time - ( because we would be right first time)
Increased team motivation because we will have more success and less rework
The customer would be more satisfied
The project management plan is produced in the definition phase and it brings all of the plans together for the project , its purpose is to ?
Document outcome of the planning process and to provide the main reference document for managing the project
The project team help to write the project management plan but it is owned by the ________ and signed off on behalf of the organisation by the ___________
Project manager
Project sponsor
All the stakeholders refer to the project management plan it answers the key questions of ?
What, why, when , how and who & how much , what if and how good ?
The project scope , product and work breakdown structures are defined under what with the business case telling us why we are doing it the product schedule tells us when things will happen and who will do them.
If we’re spread across location will document that under where.
The how is the largest section as it covers our strategies and plan for managing risk , quality , communications, health and safety, change , configuration and so fourth.
The details of the team will be under who
The budget under how much
Key risks under what if
The quality and acceptance criteria will be found under how good
