158 : Children’s attendance records to be kept by the Approved Provider
The approved provider must ensure that records are kept:
a) Full Name
b) Date and time of arrival and departure and signed by the parent and the NS or educator
160 : Child Enrolment Records to be kept by the approved provider.
Enrolments Records of each child must include:
1) Name, DOB and address
2) Name and address of Contacts such as, parents, emergency, authorised nominee, authorised practitioner
3) Details of any court order in relation to the access of that child or court orders of residence
4) Gender
5) Languages used at home
6) Cultural background
7) Specific religious, cultural or dietary requirements
161 : Authorisations to be kept in enrolment record
The authorisation to be kept on record are:
1) Consent to seek medical treatment and transportation by ambulance
2) Regular outings and regular transportation
162 : Health Information to be kept on enrolment Record
1) Details of the medical practitioner - name, address, number
2) Medicare Number
3) Specific health care needs, allergies risk of anaphylaxis
4) Medical management plan
5) Dietary restrictions
6) Immunisation Status
7) Any sighting of the child’s health record
8) Certs of immunisations
163 to 166 : Residence at a FDC and Educators Assistants
1) Anyone over 18 residing at the residence must be a fit and proper person
2) Any educators assistant must be a fit and proper person
3) WWCC must be considered
4) Provider must be made aware if anyone over 18 moves into the residence or if any existing persons circumstance changes to effect whether they are fit and proper
5) Records of visitors are kept if any visitors arrive while children are being cared for.
6) Children are not to be left alone with visitors
167 : Record of Service Compliance
Record of Service Compliances must include
a) Details of any amendments made by the Regulatory Authority
b) Details of any suspension
c) Details of any compliance direction or notice
168 : Education and Care service must have policies and procedures
The Approved provider must have policies and procedures in place in relation to.
a) Health and safety including matters relating to
1. Nutrition, food and beverages, dietary requirements
2. Sun protection
3. Water safety
4. Administration of first aid
5. Sleep and rest
b) Incident, injury, trauma and illness procedures
c) Dealing with infectious diseases
d) Dealing with medical conditions
e) Emergency and evacuation
f) Deliver and collection of children
g) Excursions
h) Transport services
i) Child safe environments
j) Staffing
k) Interactions with children
l) Enrolments
m) Governance and management of the service – Payments and fees and dealing with complaints
169 : Additional policies and procedures – Family day care services
a) Assessment of venues
b) Monitoring and support etc..
170 : Policies and Procedures to be followed
The AP must ensure that reasonable steps are taken to ensure that the NS’s and staff follow the policies and procedures
171 : Policies and Procedures to be kept available
The AP must ensure that copies of the Policies and Procedures are easily accessible to the NS’s and staff
The AP must ensure that copies of the Policies and Procedures are available for inspection.
172 : Notification of change to policies and Procedures
1) Parent must be made aware of any changes at least 14 days before, if it makes an impact to the service provisions to the child or the family’s ability to utilize the service
2) Must be made aware of any changes to fees at least 14 days prior.
3) If the changes pose a risk to the health safety or wellbeing of a child, changes are to advised of ASAP.
173 : Prescribed information to be displayed
1) Provider Approval - Name, approval number and any conditions
2) Service Approval - Name of the service, approval number and any conditions
3) Name of each NS’
4) Current Rating and overall rating
5) Service Waivers
6) Operating hours
7) Complaints contact
8) Name and position of the responsible person
9) Contact Details of the regulatory authority
10) Notice stating whether a child is risk of anaphylaxis
11) Any occurrences of infectious disease
174: Time to Notify the Regulatory Authority
A notice must be provided within 14 days of the relevant event such as a change in name or change in PMC.
A notice in 7 days if there is a suspension or cancellation of a WWCC or teacher registration or disciplinary proceedings etc..
175 : Prescribed information to be notified to Regulatory Authority
The following matters are prescribed:
1) Any change in address
2) The appointment of receivers or liquidators.
3) Any change to operating hours
4) Any incidents that caused the service to close or reduce numbers
5) Any circs that pose a risk to the health, safety or wellbeing of a child.
6) Attendance of additional children being cared for in an emergency
7) Any incident or allegations involving physical or sexual abuse
176 : Time to notify Certain information to the Regulatory Authority
1) 7 days if there are any changes to whether the provider is a fit and proper person.
2) ASAP or within 24 hours in the case of a death of a child
3) 24 hours in the case of any other serious incident
4) 24 hours in the case of a complaint alleging a serious incident
