Duplicate Management
- App available and free of charge for Professional, Enterprise, and Unlimited editions of Salesforce
- Helps me and my sales teams quickly and easily manage duplicates for:
1. ) Business accounts
2. ) Contacts
3. ) Leads
4. ) Person accounts
5. ) Records created from custom objects
Fuzzy Matching
- Identifies potential duplicate records based on variances of certain fields
- For example, I can create a rule to include this for first names

Matching Rule
- The matching criteria to identify duplicate records
- Consists of fields assembled into an equation (ex: First Name AND Last Name AND Title AND Account)
- A rule also includes criteria that determine how broadly a match is defined for each field
- When this runs and compares 2 records, if fields in both records match the equation and meet the criteria, the records are identified as duplicates
- Salesforce comes with three of these types of rules:
1. ) One for business accounts
2. ) One for contacts and leads
3. ) One for person accounts - Creating other matching rules is possible and easy to do
Duplicate Rules
- When Salesforce engages matching rules and determines actions to take as it encounters duplicates
- Depending on how you configure Duplicate Management, sales reps see an alert that they’re about to create a duplicate
- Or my reps are blocked from creating the duplicate altogether
What’s true about duplicate records?

How to Activate a Matching Rule
From Setup, enter ‘Matching Rules’ in the Quick Find box, then select ‘Matching Rules’ –click ‘Activate’ next to the rules for accounts and leads
Creating a Custom Matching Rule for Contacts
From Setup, enter ‘Matching Rules’ in the Quick Find box, then selects ‘Matching Rules’ – click ‘New Rule’ – select ‘Contact’ – give the rule a descriptive name and add a description – add the matching criteria – save Matching Rule – Activate the Matching Rule
Blocking Duplicates with Fuzzy Mailing Streets
From Setup, enter ‘Duplicate Rules’ in the Quick Find box, then select ‘Duplicate Rules’ – click ‘New Rule’ and select ‘Contact’ – give the duplicate rule a name and description – block both the creation of duplicates and teams from editing contacts that result in duplicates – compare the new or updated contact with contacts already in Salesforce using the custom matching rule that was created earlier – Save and Activate the duplicate rule
