Communication Process Flashcards
Sender
This is the person, individual, or group who intends to convey the message.
The intention here is to pass the information and/or ideas to others.
Message
This is the general idea or purpose of the communication.
This is the actual subject matter of the communication - it might be an opinion, a view, a suggestion, an attitude, a feeling, an order, etc.
Encoding
Happens through the sender and the message. Most often this involves words, but could just as easily be actions, images, symbols, etc.
Medium and Method
This is how the message is actually communicated.
The sender must select the most appropriate medium to pass along the message.
This might be a formal or informal channel.
An informal medium or channel
is a personal conversation, a quick text,
A formal channel/medium
is a written email sent to staff, an office memo,
a formally written report, etc.
Noise
These are things/actions/perceptions that might get in the way of transferring the message to the intended party.
This might actually be noise
A goal of the communication process is to reduce as many elements of noise and potential barriers as possible.
Receiver
This is the group or person who is receiving the message - the intended recipient of the message.
A natural process of the receiver is to decode the message.
Decoding is the receiver’s interpretation and extraction of the message’s meaning.
Just because a message is delivered, and heard, does not automatically mean that it is fully understood, or interpreted correctly
Process Barriers
A blocked or broken step will become a natural communication barrier.
consider the following encoding barrier - On a trip to Spain, Frank cannot understand his waiter at a restaurant because his fluency in the Spanish language is quite poor. This is also a process barrier. How can we eliminate or reduce process barriers?
Physical Barriers
Any form of physical distraction can be considered a physical communication barrier.
Misunderstanding of semantics
The meaning of the words we use to convey a message might be distorted - words the sender might use to convey a message, may be interpreted differently by the receiver
Poor Written or Oral Expression
words must be well chosen and properly used to express the sender’s intentions.
Using words that are not understood by the receiver can be a challenge
Using words and phrases that over complicate the message to sound smart or more important
Many people in the workforce today do not express themselves well in writing, forcing employers to spend money to train their employees
Cultural differences
Cultures views and beliefs allow them to interpret actions and cues differently than others
Poor Choice of Channels
a communication channel is the medium through which a message is conveyed from sender to receiver
What is Perception?
Perception is the way in which people receive and interpret messages and information.
