Ch 13 Project Stakeholder Management Flashcards
Project Stakeholder Management
Knowledge area focused on identifying project stakeholders, documenting how to keep them engaged, and actually engaging them on a project
Stakeholders tend to be more involved on an agile project than a traditional project
Identify Stakeholders
The iterative process of identifying project stakeholders and analyzing and documenting relevant information regarding their interests, involvement, interdependencies, influence, and potential impact on the project
Stakeholders can be identified during ANY of the process groups, but this is generally done right after the Project Charter is signed
Knowledge Area: Stakeholder
Process Group: Initiating
Inputs:
- Project Charter
Tools:
- Stakeholder Analysis
- Data Representation
- Power/Interest Grid
Outputs:
- Stakeholder Register
Stakeholder
Anyone who has a positive or negative interest in the project
Stakeholder Analysis
The data analysis technique of systematically gathering and analyzing qualitative and quantitative information to determine whose interests should be taken into account throughout the project
Things to analyze about the stakeholders include:
- The stakeholder’s role (e.g., team member, sponsor, functional manger)
- How the project will affect them (e.g., positively, negatively)
- If they will be active or passive stakeholders (team members vs. customers)
- Their power authority (e.g., sponsors paying for the project)
A tool used to help execute the Identify Stakeholders process (Stakeholder/Initiating)
Power/Interest Grid
A data representation technique that displays what power a particular interested stakeholder may have on a project
On large projects, stakeholders may be prioritized based on their interests, interaction, and power
A tool used to help execute the Identify Stakeholders process (Stakeholder/Initiating)
Salience Model
A Venn diagram that uses three variables: power, urgency, and legitimacy to categorize stakeholders
This model is useful to determine the relative importance of each stakeholder
A tool used to help execute the Identify Stakeholders process (Stakeholder/Initiating)
Stakeholder Register
A document that is used during many planning processes and lists all of the project stakeholders and their classifications
It should be updated throughout the project, as stakeholders can change very frequently
It contains personal information regarding the stakeholders on the project and should be kept in a secure location that can only be accessed by authorized individuals
It should also contain:
- Stakeholders’ contact information
- Role on the project, such as, sponsor or functional manager
- Communication requirements
- Expectations of the project
- How are they affected by the project
- Power influence level on the project
An output of the Identify Stakeholders process (Stakeholder/Initiating)
An input of the:
- Collect Requirements process (Scope/Planning)
- Plan Quality Management process (Quality/Planning)
- Plan Resource Management process (Resource/Planning)
- Plan Communications Management process (Communication/Planning)
- Plan Risk Management process (Risk/Planning)
- Plan Procurement Management process (Procurement/Planning)
- Plan Stakeholder Engagement process (Stakeholder/Planning)
Plan Stakeholder Engagement
The process of determining what methods are needed to keep the stakeholders engaged in a project and documenting those methods in the Stakeholder Engagement Plan
Knowledge Area: Stakeholder
Process Group: Planning
Inputs:
- Stakeholder Register
Tools:
- Data Representation
- Stakeholder Engagement Matrix
Outputs:
- Stakeholder Engagement Plan
Stakeholder Engagement Matrix
A data representation tool used to classify and monitor engagement levels of stakeholders
A tool used to help execute the Plan Stakeholder Engagement process (Stakeholder/Planning)
Stakeholder Engagement Plan
The management plan that describes how the project team will keep the stakeholders engaged on the project
It will include what type of communication will be used to engage them on the project
This plan states why the stakeholder engagements are necessary, wheras the Communications Management Plan states how and when stakeholders will be engaged
An output of the Plan Stakeholder Engagement process (Stakeholder/Planning)
An input to the Manage Stakeholder Engagement process (Stakeholder/Executing)
Manage Stakeholder Engagement
The process of using the stakeholder engagement plan and communication plan to actually engage the stakeholders, keep them informed about the project’s performance, and address any issues they may have with the project
Knowledge Area: Stakeholder
Process Group: Executing
Inputs:
- Stakeholder Engagement Plan
- Communications Management Plan
- Risk Management Plan
- Issue Log
Tools:
- None
Outputs:
- None
Monitor Stakeholder Engagement
The process of examining whether the stakeholder engagement plan is being carried out and if it is working
Knowledge Area: Stakeholder
Process Group: Monitoring and Controlling
Inputs: None
Tools: None
Outputs: None
