- It is the responsibility of each sworn member or civilian employee to read and familiarize themselves with promulgated PPRROD

How long are all other written Directive valid for?
-Valid for one year unless rescinded. New directives may be issued at any time. These directive shall be reviewed at the end of one year prior to re-issue.
Who facilitates an annual policy review process, including but not limited to, establishing the review schedule and maintenance of review records?
The Strategic Planning Section Shall facilitate these.
When shall all written directives be changed?
All Directive shall be amended to coincide with the terms of the current collective bargaining agreement, state and federal laws, and including executive orders.
How does a member obtain a copy of a written directive?
Members shall obtain a copy of a written directive from PowerDMS and/or Docushare. If can’t access it there, member shall request it through channels to Strategic Planning Section.
Who saves the archived written directives?
The Office of Superintendent-Strategic Planning Section. They must save the signed original copy of all written directives
What is a Standard Operating Procedure and who shall create them?
A SOP is created and maintained internally by the Section/Unit Commander. Shall forward a copy through channels. Upon approval the SOP shall be filed with the appropriate Division Commander. Review SOP’s annually and ensure that any changes are approved through channels of the Office of Superintendent.
Explain the process of the master vacation schedule.
Each troop/station/section/unit commanding officer shall submit master VAC schedule for all employees and their division before February 14 of each year.
- They must ensure that all sworn members have selected vacation weeks according to their collective bargaining agreement.

Whenever an employee seeks to obtain services or funding through private, public, state, or federal entities or to acquire or transfer equipment from an outside entity they must follow procedures within this policy.

What is a Grant

What is an (ISA), inter-agency service agreement?
In agreement between the department in a state entity which is committing funds for a specific program
What is equipment acquisition agreement?
Agreements where the department receives equipment to provide services, perform a specific function, or use within its operations.
What does the term Match Funds refer to?
Portions of funds that the department shall provide to supplement the funding agencies contribution. Match is usually a percentage of the projects total budget

An employee appointed by the division commander to oversee a specific request/project. They are responsible for the completion of all quarterly and annual reports

Line inspections
What is the purpose of a line inspection?
To improve the operational readiness of the department by ensuring all members adhere to all establish rules RRPPOD and general laws.
What ranks should be inspected?
Members from the rank of captain through Trooper shall be inspected.
Who is exempt from the uniform appearance portion of the line inspection?
Members assigned duties requiring civilian attire are exempt.
Who may require additional inspection procedures within their respective commands?
Troop/section commanders.
Who oversees line inspections?

How often are line inspection was conducted and by who?
All members are inspected at least quarterly by their first line supervisor.
How are line inspections tracked?
Inspections are properly documented on paystation. They are tracked quarterly during the month of January, April, July, and October.
What are the responsibilities of the First Line Supervisors?
They must conduct inspections of all immediate subordinates at least quarterly, of their assigned cruisers and equipment.
They are to submit a report of the inspection including an explanation of inadequacies and pay station quarterly.

Station/unit commanders Shall examined department facilities and determine where there are inadequacies deficiencies or areas not in compliance with departments RRPPOD and general laws.

What is the policy of the staff inspections?
The department shall continuously audit and inspect all resources, facilities, equipment, personnel, practices and policies, to update the command staff on quality of department services. Each organizational component of the department shall be inspected at least every three years.
To accomplish the mission of conducting staff inspections what shall inspectors have access to?
Inspect inspectors shall have complete and unrestricted access to all department records and properties.

What are the protocols of staff inspections?

What are the nomination procedures?
Supervisors shall make nominations By consulting a list of criteria, complete an electronic EES Supervisory observation report or EES quarterly performance evaluation; and electronically forward through channels within the awards database, the respective award recommendation and reasoning to the appropriate division commander, attach any supporting Documentation
What shall the division commander do for nomination procedure?
Determine if the act is worthy of recognition, electronically forward award recommendations to the EES coordinator, and a (Cc) carbon copy to the Awards Board. Ensure supporting documentation is electronically attached/uploaded within the database.

When is sick leave granted
When the sworn member cannot perform their duties because they are incapacitated by personal illness or injury, their presence would jeopardize the health of others through exposure to a contagious condition, the members spouse, child, parent, or spouses parent or relative living in the hot members household is seriously ill. The limit the amount of sick leave a member can use except by the CBA and federal and state laws.
What does the member have to do when using sick leave
Notify their duty assignment as early as possible on the first day of their absence. They should be appropriately logged in the daily Administrative journal reflecting the members name ID and type of sick leave. Shall be appropriately logged in the Departments time and attendance system.
When a person is calling out sick what shall supervisors be informed of?
Nature of illness or injury, anticipated duration of absence if known, location of the recuperation, telephone number, and any duties or scheduled quarter parents as it may require attention.
-Important to know if the absence is shorter or extends beyond the initial anticipated period of absence, the member shall advisor duty assignment of the modification to the sickleave request.
What are the rules of members who are granted sickleave.
Members shall not request or work overtime or details within 24 hours from the start of their regularly regularly scheduled work shift unless members have worked at least 4 or more consecutive hours during the first half of the shift or worked at least 4 or more consecutive hours during the second half of the shift which sickleave was granted

Members may use sick leave to attend a doctor or dental appointment.
When shall members call off of sick leave?
Must call at least 8 hours before reporting back for the next shift.
What happens if a member uses more than five consecutive sick days for work days?
The member may be required to undergo a medical examination provide documentation from a doctor to determine their fitness for duty.
What are some of the things members suspected of abusing sickleave may be ordered to do?
Remain at a reported place of a recuperation with the exception of time away to abstain obtain services or products for medical care, Vote or attend religious services, attend an emergency situation, or attend other matters with permission from the supervisor.
When may members using sick leave leave the commonwealth of Massachusetts?

1) Reason to suspect abuse in general and
2) reason to suspect abuse in a particular instance.

Notify the member using SP 382Abuse Sick Leave form, general suspicion.
