Productivity Software
to complete tasks accurately and efficiently.
examples of productivity software
database
word processor
spreadsheet
email
Word Processor Purpose
create, manipulate, format, store and print text
word processor benefits
- EASY TO CORRECT MISTAKES - save multiple ver of doc
- MERGE with DATABASE to send same letter to multiple people
- COPIES MADE - PRINTING COSTS SAVED.
disadv word processor.
data - can be LOST/CORRUPTED
- some symbols not ACCESSIBLE.
- requires suitable system - so they can be edited/viewed on the go.
spreadsheet purpose
ANALYSE numerical data in columns and rows
advantages spreadsheet
- calculations are easily understood
- can track payments/finances
- automatically calculate formulas
disadva spreadsheet
- it can take up lots of storage, so its not great for the long term data storage
- it deskills workers because they don’t need those specialist skills
database purpose
a high end computer that stores large amounts of structured data and unstructured data
database advantage
- It has separate tables for different info
- There’s less data redundancy (dismissed/excess) which means there’s less chances of errors happening
- It is easier to navigate the database compared to spreadsheet
disadvantages - database
- it can have significant/lots of hardware + software costs with it
- It can be complex to use, so it requires training for devs/users/employees
- it can be time consuming to design
What is the difference between a database and a spreadsheet ? (Productivity software)
Database have data that is stored in individual tables.
Spreadsheet arrange the data in columns and rows.
emails
send messages such as promotion info to customers
emails +
send many info at once, its instantaneous
LESS costly rather than sending letters in the mail
important docs/multimedia
