Define Project Management
Process of planning and controlling the activities of a project to ensure that it is delivered on time with required features and within budget
How is a project defined to be successful?
If it has achieved it’s objectives, within agreed timescale and budgets according to acceptance criteria
What is acceptance criteria?
Agreed sign-off criteria for item in product backlog
What is a project plan?
Plan that details:
- Individual Responsibilities
- Resources
- Order of Work
- Key milestones
What is the scope of the project?
What needs to be done to deliver the project
What will change if the scope of the project changes?
The time and cost of the project
How do agile scrum methodologies reduce the risk to the client?
Can change the scope of the project
What is the role of the project manager in large scale scrum projects?
Acts as a buffer between outside organisations and the teams
Constructing a high level project management based on product backlog
What is a work breakdown structure?
Hierarchy of tasks to be completed and milestones within the project
What is the role of a project manager in a waterfall model?
Turn the requirements specification into a work breakdown structure and estimate amount of effort
What is a milestone within a project
Point in the project which has a high level of importance
What happens at a milestone in a project?
- Project process is evaluated and reported to client
- Client will be given a deliverable
What is a deliverable?
An artifact that is handed over to the client
If tasks do not rely on each other what can happen?
They can be worked on concurrently by different team members
What will determine the sequence of tasks?
Inter dependencies between tasks
Give examples of resources that may be needed for a project

How can the amount of time to complete a task be reduced?
Providing more resources to the task
Why will putting double the amount of team members on a task not necessarily half the time taken to do the task?
Requires team work and co-ordination which take time
What is effort normally in?
Persons hours/days
What is a gantt chart?
Way of showing the work breakdown schedule against a time
What is the timeline used to show?
- Dependencies
- Start and end dates for whole projects
- How long each activity is scheduled to last
- When the activity to complete tasks begins and ends

What is the critical path in relation to gantt charts?
Pathway through a project where a delay to the completion of an activity will extend the duration of a project
How is a critical path identified?
Where there is no gap between start and end points
Define Effort
Physical/Mental activity to achieve part of project objectives
What is the float?
Amount of time of task can be delayed without causing delay to subsequent activities and overall project
What is the reason for creating a gantt chart?
Ensure the project is delivered on time and on budget
What is the progress of a project measured against?
Base line plan
What is the base line plan?
Agreed final plan before moving into the development phase
What are the two ways a project can be brought back onto track?
Reduce the scope of work
Allocate additional resources
What is a disadvantage of reducing the scope of work to bring a project back on track?
Project is completed but does not meet the original specification
What is a disadvantage of allocating more resources to bring a project back on track?
Additional cost to the client

Time
Scope
Quality
Cost
If time and cost allocated to project are fixed, how can it still be delivered if items are added to the scope?
By reducing the quality of the final product or removing items from the scope.
