Orgs & Hierarchies Flashcards
What does an organization do ?
groups resources, workers, and costs to support a particular business function.
What are common org types ?
Cost Center, company, supervisory, matrix, region, location, pay group and custom
What do the sup orgs track?
workers
What do cost centers track?
financial transactions
What purpose do company’s serve?
they provide a vehicle for statutory reporting
True or False
workers can only belong to one organization type
False. Typically, a worker also belongs to various other organization types such as a company, cost center, and region. Each organization type serves a different business function for that worker.
How can you establish each organization’s functionality ?
Using the Maintain Org types task
How do you create new custom orgs ?
Using the maintain org types task
what are examples of org functionality that you can establish using the Maintain org types task ?
1) Assigning organizations to positions.
2) Relating organizations to existing organization subtypes.
3) Configuring worktag options.
What is a sup org and what does it do ?
it is an org type that groups workers into a management hierarchy. A sup org has assigned manager and support roles ( eg hr partner or comp partner). By hiring, contracting, or transferring a worker into a supervisory organization, you are also assigning the worker a manager and including the worker in a management hierarchy.
what is a matrix org and what does it do ?
it establishes an indirect manager relationship ( aka dotted line relationship between ee and mgr). A matrix organization typically
contains workers from different supervisory organizations that work together in some capacity. Each matrix organization has an assigned matrix manager who has a dotted-line relationship to all the members of the matrix org
What is a company org and what does it do ?
It represents a legal entity and ties to all financial transactions. A primary
org type for WD Financial Management, you can use
company orgs to generate most financial reports, such as balance sheets & income statements. WD recommends that you create a separate comp for each internal entity with a separate tax id (think comp 100, 110, 220)
What is a cost center and what does it do ?
it is an org type used to track and report on revenue and expense related financial transactions. CC orgs also track and report on WD HCM transactions with financial impacts such as hiring and terminations.
What is a region org type?
It is an org type used to reflect a workers area of responsibility instead of a workers physical work location. Region orgs are customer specific
What is a location org type?
it is used to group workers by their physical work location rather than an area of responsibility. Locations are an attribute that you can associate with a worker, sup org or position. Location orgs can also be used to track assets
What is a pay group org type?
This org type groups workers with similar payroll processing parameters and aggregates workers and the rules that govern pay calculation. Workers in the United States, Canada, and France who receive pay through Workday Payroll must be members of exactly one pay group, unless you use multiple jobs functionality.
Note: You may require Pay Group organizations if deploying Workday
HCM with payroll integrations to third-party
What is a custom org ?
This is used to group workers into logical constructs, IF an existing WD delivered org type does not meet business needs. Custom orgs are configurable and customer defined.
What org types are configurable ?
Custom Orgs
what org types are customer defined ?
Custom orgs
What fields are available when creating an org ?
Availability date, Name, Code, Subtype, visibility and roles (tab)
What field types are required in org creation task?
Availability date, subtype, visibility, primary location
What field types are optional in org creation task?
name and code
What does the availability field do ?
Controls when the org displays in prompts and is fully viewable in reports. -aka when this org can have employees assigned to it.
What does the Code field do ?
it is used for additional or short hand identification.
what does the subtype field do ?
it is used to distinguish between multiple instances of the same org type (eg for sup org the various instances include sup, company, or department) or as a unique identifier to create and enforce a hierarchical structure for reporting. Org subtypes are tenanted data.
What does the visibility field do ? and what are the options ?
Determines who can view the org.
types of visibility are :
Everyone, role assignees, role assignees and members, role assignees of current and superior
What does the everyone visibility option determine ?
Everyone - anyone can see this org
What does the Role assignee visibility option for orgs mean and what does it determine?
Only a worker assigned to a role in the org can view the org. Workers can only view subordinate orgs if the subordinate orgs inherit their role. If you are no longer the role assignee, the org is no longer visible to you - even if the role’s role-based security group has “Applies to Current Organization and All Subordinates”; access rights.
Example: Use this option when planning a reorganization. When the
reorganization goes live, change the orgs visibility type to everyone.
What does the Role assignees and members visibility option determine?
Only members and workers assigned to a role can view the org
What does the role assignees of current and superiors visibility option determine?
Only workers assigned to a roles in the org or a superior org can view the org. Workers who can view the org can also view all subordinate orgs. Example if assigned HR partner role to a directors org and this visibility option is selected you can see the directors org PLUS the senior director , VP and CEO orgs and you can view all the subordinate orgs too.
What does the Roles tab do ?
Identifies the leader and other support personnel eg Manager, HR partner, Comp partner etc
what are assignable roles ?
they manage the security permissions of tasks, access to workers and business process involvement. All org types (sup, CC & location hierarchy) have assignable roles.
WD uses assignable roles for security, business process routing,
and business process approvals. The same role can have access to multiple
functional areas across Workday HCM and WD Financial Management. For this reason, ensure that all teams review how your organization uses roles across all Workday applications
how do orgs gain assignable roles ?
1) inherited from superior org
2) specifically assigned to the org
3) assigned by default
how do you assign roles to an org ?
From its related actions -> roles -> assign roles. Or you can go to the worker who will be assigned this role and go to their related actions -> security profile.
The ability to assign roles depends on your security permissions.
True or False
A sup org can have multiple managers ?
True
Note: You can select one Manager as the main manager for reporting fields and integrations using the assigned roles Single Assignment function
How do you define organization subtypes ?
Using the maintain organizations subtypes task. If you have the biz need you can also set up and enforce the hierarchy of your org subtypes
How do you configure a subtype hierarchy ?
Org related actions -> hierarchy structure -> create or create top level hierarch structure . After creating the Subtype hierarchy use the same related actions path to view the structure.
How can you correct and enforce exceptions on a subtype hierarchy ?
On the view page of the hierarchy structure
What dictates the hierarchy in the create hierarchy structure task ?
The levels grid. You have the option to allow for skipping levels which lets subordinate orgs subtype report to any superior org subtype
What happens if you do not select allow for skipping levels checkbox ?
the subordinate org subtype must always report to the superior org subtype immediately above its level So for example if the levels are :
1 - division
2- department
3 - group
4- project
if you do NOT select the AFSL checkbox project can only report to group.
if you DO select the AFSL checkbox project can report to division or department.
What categories are WD org types associated with ?
Costing, Hierarchy, HR, Pay, custom.
examples of the types and subtypes in each category are:
Costing category has company, cost center, location and region as org types. Examples or company subtypes are campus company and division
HR category has matrix, sup org (retiree and and work team as well)
Supervisory org subtypes used are: department, division, Group and project
How do you access the WD org types categories ?
Maintain Organizations report .
What do org hierarchies do ?
Reflect different organizational rollups for reporting purposes. You can change how you roll up orgs at any time. Note that an organization
hierarchy can only include organizations (or organization hierarchies) of its associated type. For
example, cost center hierarchies store cost centers, company hierarchies store companies,
location hierarchies store locations, and regional hierarchies store regions.
True or False
Hierarchical org types support security and inheritance of org roles down the hierarchy
True
True or false
Org hierarchies can include orgs of different types for example cost center hierarchies can include companies or regions ?
False ! they can only include orgs and org hierarchies of their included type for example Company hierarchies store companies
who assigns included orgs to a hierarchy ?
organization administrator or hierarchy owner
True or false
Hierarchies can include other hierarchies for more detailed reporting and grouping
True ! Note Multiple hierarchies can include the same orgs allowing for multiple views of your data
where are specific transactions stored? Within
A) the organization
or
B) the organization Hierarchy
A) the org
Finish this sentence : a company hierarchy groups related companies
a company hierarchy groups related companies for role assignment, multicompany
processing, and consolidated reporting. Workday requires company hierarchies for consolidations, and all companies in the hierarchy must have the same account set. However, they can have different company currencies and fiscal schedules if they share a common
primary or alternate schedule.
What do you need to create org hierarchies such as sup orgs, companies, or cost center ?
You need to create a reorganization event. This event groups reorg activities into an event that you can track in WD . A common effective date can be applied to these reorg activities and you can view and manage those activities in delivered reports and queries.
A reorganization event might include only one change to an organizations structure. Reorganization events can also group multiple reorganization activities for various organizations
What does the reorganizations report do ?
Tracks reorg events and activities
What org type does NOT require a reorg event ?
Matrix org creations and changes
What is the naming convention for company orgs ?
WD recommends using the official legal name. You can confirm a phonetic name for a company or biz entity in both a local language and English to comply with government regulations
True or false
You can change the currency for a company after you enter the first transaction for the company
FALSE .
after you enter the first transaction for a company you will need to inactivate your company & create a new one with the correct currency
If you deploy Workday HCM, or Workday HCM and Workday Payroll first, then companies will already exist in the Workday HCM deployment. Verify that the
company is based on the legal entity name and the correct company base currency during setup.
What are the general guidelines to creating cost centers ?
They must have :
a manager
a financial impact
a budget
How can you distinguish between multiple instances of the a sup org ?
You can specify individual sup orgs as particular subtypes eg department, division and group
what does the divide org action do ?
it allows you to create a new sup org by dividing an existing sup org into two. You can also select which subordinates move into it. Dividing an org does not assume as much inheritance and requires field population eg location
true or false
you can inactivate an org that has positions (for Position management orgs) and workers (for job management orgs) ?
False.
The org must be completely empty no positions no employees.
