Common ITTOs Flashcards
Project Documents
Additional documents that are created and used that are NOT part of the Project Management Plan
Organization Process Assets (OPA) / input
Templates, information, policies, procedures, documents, etc. from the organization
Ex: Project templates, Software tool, Historical information
Enterprise Environmental Factors (EEF) / input
Things that impact the project but are not part of the project itself, both internal and external.
Ex: company’s org structure, employee capability, government regulations
Expert Judgement / tool
Hiring a subject matter expert (SME) to help you to plan a process or conduct a process
4-Step Decision Making Process using data
- Data Gathering
- Data Analysis
- Data Representation
- Decision Making
Data Analysis: Alternative Analysis
looking at different options or ways to accomplish something
Data Analysis: Root Cause Analysis
identify the main underlining reason for particular event
Data Analysis: Variance Analysis
find the exact differences between different things
Data Analysis: Trend Analysis
looking at data over a period of time to see if a particular trend is forming
Data Representation: Flowcharts
Flowcharts show you a graphical representation of the process and any room for improvements
Step 1 > Step 2 > Step 3
Data Representation: Fishbone diagrams
it will tell you the causes of defects
AKA Cause and Effect Diagrams OR Ishikawa
Data Representation: Histogram
bar charts that show the distribution of numerical data
Ex: Pareto diagrams (which use the Pareto principle of 80/20)
Data Representation: Scatter Diagram
show trends in relation to different variables
Decision Making: 3 ways
- Voting (group makes a decision)
- Multicriteria decision Analysis (listing diff criteria in a matrix and evaluating based on that)
- Autocratic Decision Making (one person makes a decision)
Project Management Information System (PMIS)
Automated system that is used to optimize the schedule or keep track of all the documents and the deliverables
3 Actions that can result from Change Request
- Corrective action: taken to ensure that the project gets back on track.
- Preventive action: done to ensure the project stays on track.
- Defect repair: fix a broken component on a project, such as if network switch memory fails on a network upgrade project.
Work Performance Data
(data > information > report)
Raw data of the work that was done but does not have any analysis applied to it. Not useful by itself.
Usually outputs of executing
processes
Work Performance Information
(data > information > report)
Information of the work that was performed compared to the plan
You take the work performance data and compare it against the plan to come up with the work performance information.
Usually the output of most monitoring and controlling processes
Work Performance Report
(data > information > report)
It takes all the work performance information and puts it together into one comprehensive document.
In short, data feeds info and all the info creates reports.
Data Gathering: Benchmarking
Generally, it’s an industry standard performance number that you should meet.
Data Representation: Mind Mapping
Visual map of ideas

Data Representation: Affinity Diagram
Similar ideas are grouped into buckets
https://en.wikipedia.org/wiki/Affinity_diagram
Data Representation: Logical Data Model
A visual representation of the data and you can then use it to identify the best methods to sort and organize it
Data Representation: Matrix Diagram
The relationship between two or more groups within the project
