Ch 4 - Ashley. *Done* Flashcards
what is SDLC
a formal, multistage process through which information systems are implemented
5 phases of major system development activities
planning Analysis Design Implementation Maintenance *Some organizations may codify up to 20 phases. Phases are tailored to each specific orgs needs.
Benefits of phased approach to system design
- Allows orgs to focus on a limited set of issues
- Contains many activities within one phase allowing orgs to make “go no-go” decisions at the end of each phase.
- At any time the project is seen as not meeting objectives it can be terminated.
Describe the Planning Phase
includes both long range or strategic planning and short-range operational planning. In this phase HR will determine the existing technological and system capabilities and develop a general plan for adapting, upgrading or changing these plans.
Describe the Analysis Phase
Current capabilities are documented, new needs are identified, and the scope of the HRIS is determined. (most important, most time consuming phase)
Describe the Design Phase
the “blue print” for the system is finalized, detailed specifications for the system is laid out. often when the final vendor evaluation and selection occurs.
Describe the implementation phase
the HRIS is built, test and readied for roll out. aka the “go live” stage where the old sytem is turned off and the new system is put into play.
Corrective Maintenance
Fix current problem
Adaptive Maintenance
Ensure system is keeping up with business and changes in the HR environment (ex.new gov regulations affecting HR practices)
Perfective Maintenance
Tweaking, perfecting the system
Preventative Maintenance
Maintaining System, Maintaining data to prevent future issues.
What is a Needs Analysis?
The process of gathering, prioritizing, and documenting the HR information requirements.the needs analysis is to collect and document information related to making changes connected to current system performance issues, the introduction of a new system, application, task or technology or any opportunities believed to benefit the organization.
5 main stages of needs analysis phase of SDLC
needs analysis planning observation exploration evaluation reporting
Describe Needs Analysis Planning Stage
Team is assembled and prepares to investigate the current and desired system applications and functions.
4 Major activities to complete in planning stage
Organize the needs analysis team, determine managements role, define the goals, determine tools and techniques to be used.
Describe the observation stage
analyze the current situation, define the needs, classify the data, determine the priorities (must have, like to have, future focus), review with management.
Describe Exploration stage
Collect and document the data ex. interviews (structured, unstructured) questionnaires, observation and focus groups.
Describe Evaluation stage
Review and assess the data collected to create a clear picture of the current data and desired processes, data sources, issues. Gain additional perspective and encourage suggestions, prioritize the data based on level of need and immediacy.
Priority description codes
Must be present at implementation, must be present within 6 months of implementation, nice to have but not essential, not need in the near future but may be needed due to environmental changes.
What are Questionnaires?
used during the exploration phase, structured data-collection tools that must be designed and implemented carefully in order to obtain usable results.
what are importance level descriptions
A rating system that maps out what is needed and will show the critical path. (may be different within different departments)
Describe the reporting stage
preparing a report that summarizes the findings and presents recommendations for the design phase. Also should include a requirements definition. Also get formal management to sign off in this stage.
What is a formalized requirements definition?
A list of each of the prioritized requirements for the new system and any specifications geared toward solving problems identified in the analysis, as well as any specifications that focus on new functionality that hr requires in the new system.
