written communication among customers, clients, stakeholders, investors, and
other commercial purposes. It follows specific formats and uses formal
language.
Business letter
is a personal correspondence
written for exchanging communication with family members, friends, relatives,
peers, acquaintances, etc.. This is used to communicate and get in touch with one
another.

Complimentary Close
Signature
refers to the sender’s complete address including ZIP code and
email address. It can also include a contact number, a fax number, the
trademark or logo of the organization. This is usually included in the
letterhead that serves as the return address of the person writing the letter.
Heading
indicates the date when the letter was written.
Date Line
refers to the recipient’s address. It includes the name of
the person written to (if used), his/her position, the company name, company
address, and ZIP code.
Inside Address
is a formal or informal greeting used in a letter that directly
addresses the person. It is appropriate to use a person’s name along with
his/her title in the greeting with the same degree of formality as observed in
the complimentary close.
Salutation
– contains the most important message of the sender. It explains in
detail all aspects of information being shared. When writing a business letter,
keep your message clear, concise, complete and straightforward.
Body
body of the letter is divided into three parts:
Opening
Main
Concluding
the writer should already state the purpose of the letter,
as shown in the example below. This is so that the reader will know
immediately what the letter is for.
Opening Part
This provides the main explanation for your purpose in writing the letter.
You may add additional paragraphs to elaborate or further clarify
important information for the reader, if needed.
Main Part
It brings the letter to an end and states the suggestion or the need of action.
It also shows the expectations of the sender from the recipient.
Concluding Part
is a polite and courteous way to end a letter. It is a
part of professional correspondence, so do not use any informal closing lines
in a business letter.
Complimentary Close
is a mark or sign made by the letter writer to indicate the
sender’s authenticity. It can also include other details like the sender’s title,
position, affiliation, contact number, and email address.
