What is the difference between internal and external meetings?
Internal requires less arranging, fewer staff are laid on and external requires bookings, seating arrangements, phone calls, costing.
How does destination affect travel arrangements?
The further away a meeting location, the more arrangements and considerations e.g., passports and visas
How does dates/time affect travel arrangements?
Not every day is the same cost e.g., Sunday’s have less trains running, Friday’s are busy times, public holidays, road tolls, rush hours
How does personnel affect travel arrangements?
Hiring replacements will be needed back at the office , business people tend to bring their secretaries
How does special requirements affect travel arrangements?
Visas, disability access, internet access, food arrangements (vegan/vegetarian), bringing equipment
How does mode of transport affect travel arrangements?
The further you have to travel more likely flight transfers, bus and train schedules are subjected to delays, cancellations.
How does location affect accommodation?
Close or within meeting place, edge of town, near airport
How is the grade of accommodation affected?
Depending on the importance of the staff present, a higher valued member of staff would require a higher grade of accommodation
How does cost affect accommodation?
This is due to quality, length of stay, arrangements, time/date, location
How does meal arrangements affect accommodation?
Breakfast is often included but not always, vegetarians/vegans also need to be considered
