Q

What are some University Time Management tips

A

At the end of your 1st week of classes, collect all your course outlines to schedule your semester

List the times for all your classes and where they are located. Also list other recurring activities such as work, volunteer, sports, etc.

Then take a monthly schedule. Fill in the due dates for all exams.

Ensure you do not underestimate the study time.

Check off tasks as you complete them (provides a sense of accomplishment).

If you fall behind, revise your schedule ASAP.

Q

What’s some Effective ways to use your emails

A

Remember that e-mail IS NOT texting. While texting is informal, e-mail is semiformal (while memos are considered formal).

YOU MUST EDIT what you send out to faculty and staff at SFU.

Phrase your writing as requests rather than demands.

If writing to the Undergraduate Assistant or Advisor, include your student number in the e-mail body (NOT in the subject line). And NEVER make the student # part of an automatic signature!

Make sure to use your SFU email and not your personal email.

Ensure you use an appropriate salutation.

Ensure you spell the recipient’s name correctly

Q

What is the Etiquette of Cc’ing

A

To: - Primary recipients

CC: Carbon Copy –

  • Added to the email chain, and all participants can see that.
  • Use when you want to involve someone into the conversation but aren’t directing your question towards them.

BCC: Blind Carbon Copy

  • Added to the email chain, but the rest of the participants cannot see their email
  • Avoid when possible as it creates lack of transparency and the person BCC’d may not realize they have been BCC’d

Q

What is appropriate for the length of your email and attachments

A

If an e-mail message is unavoidably more than a screen long, consider using headings to break up the text.
Or ask for a meeting

Ideally, paragraphs in e-mail are 2-3 sentences in length.

Wherever possible, information that requires more than a few short paragraphs to express should be word processed and sent as an attachment – perhaps as a memo report or proposal.

Questions/requests at the end of long emails are often ignored/missed.

Ask yourself if the people you are cc’ing really need the information. Everyone receives too much spam; avoid adding to it.

Email Security

A

Always double-check.

review carefully to whom you are sending and the tone and content of the email.

If you hit “Reply All”, for a message, ensure you really want or need everyone to see the material.

Do not send confidential or highly personal material via e-mail

Emails are easily shared; assume your message may be shared.

So long as you know the staff or faculty member you are sending the e-mail to, student numbers are an exception.

17
Q

What should you do to have the right tone of your email

A

Do not publicly flame others.

Do not compose an email when angry

If you’re not sure about the composition of your email, get a trusted friend to help you.

Never send material with any potential to be offensive

Be polite.

18
Q

How to email profs

Use your SFU account rather than an external account.

Ensure your subject line is completed.

Keep the email short and to the point.

Be relatively formal and respectful.

Include your full name (and student number, when appropriate).

Tell us the course involved.
