BAA
The Business Associate Agreement, or BAA, is a contract between SimplePractice and the customer for the purpose of protecting PHI. This document outlines the responsibilities of each party for the collection, use, and maintenance of client information stored within the account so that both the customer and SimplePractice remain HIPAA-compliant.
Terms of Service
Our Terms of Service outlines the general rules for using SimplePractice that must be followed by all users
Most importantly:
- Sharing accounts is not permitted, meaning that each SimplePractice customer needs their own login
- SimplePractice has a no-refund policy
- In the event that the Terms of Service have ended (for example, if either the customer cancels their account or their account becomes past-due), SimplePractice will delete all data from the account in 30 days
Privacy Policy
As the name suggests, the Privacy Policy addresses private data, or Personally Identifiable Information (PII)
Is a credit card required for free trial?
CC is not required, but it is necessary to get access to all the features such as
- Enrollments
- The ability to edit appointment reminders
Is a billing cycle eligible to change?
A customer’s subscription billing date is not eligible to change, and will be the date of the month they upgraded to become a paid customer. I.e., if a customer upgrades on the 1st of the month, their subscription date will be the 1st of the month every month and can’t be changed
How many plans are there? What is the pricing?
Starter - 29/mo
Essential - 69/mo
Plus - 99/mo

- Does not include Calendar Sync
- Does not include Appointment - Reminders (exceptions below)
- It includes the ability to add on Telehealth
What does essential plan not have?
One major note about the Essential plan is that this plan does not provide team member roles of any kind (clinician or non-clinical).
Additionally, the Essential plan differs from the Professional in that it does not have Calendar Sync or the Online Appointment Request Widget
Who is the essential plan good for?
Starter Plan + Insurance Claims?
Enrollment to file claims, enrollment to receive payment reports, and the ability to receive coverage reports are not features included in the Starter plan. This means there are no insurance related fees associated with this plan but note that customers can still create, download, and print claims to submit outside of SimplePractice.
However, if a customer downgrades from the Essential or Plus plans mid-billing cycle, the customer is still responsible to pay for their previously filed claims or requested coverage reports. If they downgrade the following pricing applies per previously filed claim:
The first 1 to 250 claims are $0.25 per claim
251 to 600 are $0.23 per claim
601 to 1000 claims are $0.21 per claim
1,001 or more claims are $0.19 per claim
Coverage reports are $0.05/report

10 claims per month filed for free for the account, followed by this pricing model for additional filed claims:
The first 1 to 10 claims per month are free ($0.00)
11 to 250 claims are $0.25 per claim
251 to 600 are $0.23 per claim
601 to 1000 claims are $0.21 per claim
1,001 or more claims are $0.19 per claim
Coverage reports are $0.05/report

Similar to the Essential plan, customers have full access to our insurance filing features including enrollment to file claims, receive payment reports, as well as request coverage reports. One difference, is that on the Plus plan the first 35 claims per month filed are free for the account, followed by this pricing model for additional filed claims:

36 to 250 claims are $0.25 per claim
251 to 600 are $0.23 per claim
601 to 1000 claims are $0.21 per claim
1,001 or more claims are $0.19 per claim
Coverage reports are $0.05/report
Note: The free 10 or 35 claims customers receive per month per account, on the Essential and Plus plans respectively, start counting once the account is a paid customer. This means that customers can still file claims for free during the trial period, and the claims filed during the trial period will not count towards these 10 or 35 promised free claims.
